This position is being offered initially as a temporary position to assist during a maternity leave, with the potential to become a longer-term opportunity for the right candidate. Our practice focuses primarily on estate planning, probate and trust administration, real estate transactions, business transactions, and related matters. We are looking for an individual who enjoys working directly with clients, managing files from start to finish, and helping attorneys deliver exceptional client service. Position Summary The successful candidate will assist attorneys with the preparation, organization, and management of estate planning, probate, real estate, and business transaction matters. The position requires strong organizational skills, attention to detail, excellent communication abilities, and the ability to manage multiple deadlines simultaneously. Responsibilities Draft, revise, proofread, and format legal documents, correspondence, pleadings, deeds, affidavits, trust documents, probate filings, contracts, and related materials. Prepare documents for filing with Montana courts, county clerks and recorders, the Montana Secretary of State, and other governmental agencies. Assist with estate planning matters, including preparation of wills, trusts, powers of attorney, health care directives, beneficiary deeds, transfer-on-death documents, and related materials. Assist with probate and trust administration matters, including preparation of petitions, inventories, notices, accountings, deeds, affidavits, and other court filings. Support real estate and business transaction matters, including document preparation, closing coordination, due diligence organization, and maintenance of transaction files. Manage attorney calendars, deadlines, court dates, client meetings, and project timelines. Serve as a primary point of contact for clients, financial advisors, accountants, title companies, realtors, and other professionals involved in client matters. Manage client intake, conflict checks, engagement letters, file opening procedures, and file maintenance. Maintain electronic and physical files and ensure matters progress efficiently and deadlines are met. Prepare meeting materials, organize supporting documentation, and assist attorneys with follow-up tasks and client communications. Assist with general office administration and other projects as needed. Qualifications Prior experience as a legal assistant or paralegal, preferably in estate planning, probate, real estate, business law, or another transactional practice area. Strong written communication, proofreading, and document formatting skills. Proficiency with Microsoft Office, Adobe Acrobat Pro, cloud-based document management systems, and electronic filing platforms. Ability to work independently while maintaining a high level of accuracy and attention to detail. Strong organizational and time-management skills. Professional demeanor and ability to communicate effectively with clients and colleagues. Ability to maintain strict confidentiality. Experience with legal drafting, court filings, title work, probate matters, trust administration, or real estate transactions is preferred but not required.
