Job Description

Job Overview We are seeking a highly organized and detail-oriented Estate Administration Paralegal to join our dynamic legal team. In this pivotal role, you will assist with the administration of estates, ensuring smooth and efficient processes from initial probate filings to final distributions. Your expertise will help clients navigate complex estate matters with confidence, providing clarity and support throughout the entire estate settlement journey. This position offers an exciting opportunity to apply your legal knowledge and project management skills in a fast-paced, client-focused environment. Responsibilities Prepare and review estate administration documents, including petitions, inventories, accountings, and final distributions. Manage case files using legal case management systems such as PCLaw, iManage, and document management systems to ensure accuracy and organization. Conduct legal research using Westlaw, LexisNexis, and other resources to support estate-related matters. Coordinate with clients, beneficiaries, courts, and financial institutions to gather necessary information and facilitate communication. Assist with probate court filings and ensure compliance with local laws and regulations governing estate administration. Review legal documents for accuracy, completeness, and adherence to applicable laws such as UCC law, tribal law & regulations, or environmental law when relevant. Support attorneys in drafting legal correspondence, reports, and other documentation related to estate matters. Organize and maintain meticulous records of all case-related documents including wills, trusts, powers of attorney, and court filings. Conduct thorough document review and proofreading to ensure error-free submissions. Provide administrative support including data entry, filing, scheduling appointments or court dates, and managing phone inquiries with professionalism. Requirements Proven paralegal experience with a focus on estate planning or estate administration preferred. Strong knowledge of legal research tools such as Westlaw or LexisNexis. Familiarity with legal case management software like PCLaw or iManage is highly desirable. Excellent organizational skills with the ability to manage multiple cases simultaneously while maintaining attention to detail. Demonstrated proficiency in legal drafting, document review, proofreading, transcription, and contract preparation. Experience supporting attorneys in litigation or probate proceedings is advantageous. Knowledge of various practice areas including family law, securities law, workers' compensation law, personal injury law, landlord-tenant law, tribal law & regulations, patent law or immigration law is a plus. Strong communication skills with professional phone etiquette and the ability to interview clients effectively. Ability to handle administrative tasks such as data entry, filing, document management systems operation, and clerical support efficiently. Organizational skills that enable effective project management within a fast-paced legal environment.
