Job Description

Job Purpose The Legal Assistant provides administrative and litigation support services for a potential federal client in a fast-paced legal environment. This position works closely with attorneys and legal staff to assist with case preparation, document management, legal correspondence, records organization, court filings, calendaring, and trial preparation activities. The ideal candidate is highly organized, detail-oriented, and capable of managing multiple assignments while maintaining professionalism, confidentiality, and accuracy. This role requires strong communication skills, proficiency with legal documentation, and the ability to work effectively under deadlines in support of ongoing civil and criminal legal matters.
Responsibilities:
Examine, prepare, process, and organize a variety of legal documents and case materials, including documents that may be complex or voluminous in nature. Draft and prepare recurring legal documents and correspondence including complaints, motions, pleadings, subpoenas, warrants, affidavits, notices, garnishments, summonses, and related legal filings. Assist attorneys with trial preparation by compiling trial notebooks, witness lists, exhibit binders, jury instructions, and supporting case materials. Review incoming legal materials and independently determine the appropriate processing, assembly, and routing requirements. Obtain information and supporting documentation from courts, law enforcement agencies, public records, and other external sources. Maintain case files, legal records, correspondence, and document repositories in accordance with office procedures and records management requirements. Perform docketing and case tracking activities through automated case management systems, including opening, updating, tracking, and closing cases. Maintain attorney calendars and track court deadlines, filing dates, hearings, interviews, scheduling conferences, and appointments. Develop and maintain suspense systems to ensure attorneys are informed of upcoming deadlines and case-related obligations. Verify legal citations, statutory references, and formatting requirements using online legal research tools and legal resources. Prepare tables of contents, indices, exhibits, and supporting documentation for legal briefs and court filings. Draft professional correspondence and transmittal letters related to legal matters and case activities. Provide administrative support including filing, scanning, copying, document organization, and data entry. Greet visitors, answer incoming calls, and provide general information regarding office procedures and case-related inquiries when appropriate. Coordinate records disposition, file transfers, and document organization activities in accordance with office policies. Maintain confidentiality and properly safeguard sensitive legal and client information. Perform additional legal and administrative support duties as assigned.
Requirements:
High School Diploma or equivalent required; associate degree or paralegal certificate preferred. Minimum of two (2) years of experience in a professional office or legal support environment. Experience supporting attorneys, legal staff, or litigation teams preferred. Proficiency with Microsoft Office Suite and Adobe Acrobat Professional. Experience with document management systems, records management, data entry, and legal file organization. Ability to integrate information from multiple software platforms, including spreadsheets, databases, charts, and legal documents. Strong organizational, multitasking, and time management skills. Strong written and verbal communication skills. Experience reviewing and organizing a wide variety of legal and non-legal documents. Ability to work professionally and effectively with attorneys, staff, courts, external agencies, and visitors. U.S. Citizenship required with the ability to obtain and maintain the required background investigation/security clearance.
