This role is essential for ensuring the smooth operation of our medical - legal office, providing exceptional service to our clients, and supporting the administrative functions of the office. The ideal candidate will have experience in a legal office and be proficient in various office systems. Key Responsibilities Oversee attorney requests from initial intake and scheduling through to the final delivery of the expert medical report. Gather, organize, and manage extensive medical records, legal correspondence, and intake forms. Manage incoming phone calls, directing them to the appropriate staff or department while maintaining a professional demeanor. Schedule patient appointments efficiently using scheduling systems. Maintain patient records accurately in accordance with privacy regulations and office policies. Coordinate schedules for expert exams, ensuring all deadlines, legal timelines, and statutory requirements are met. Assist with clerical tasks such as filing, data entry, and managing correspondence. Qualifications and Skills Minimum of 2-3 years of experience as a legal secretary (specifically within workers' comp or personal injury fields). Strong organizational skills with attention to detail and the ability to multitask effectively. Proficient in clerical duties and comfortable using various office systems and technology. Excellent communication skills, both verbal and written, with a focus on customer service. Ability to work independently as well as part of a team in a fast-paced environment. Knowledge of medical terminology and scheduling processes is beneficial.
