Job Description

Blustein Shapiro Frank & Barone LLP is seeking a professional, organized, and personable Receptionist / Office Administrative Assistant to join our team. This position is ideal for someone who thrives in a fast-paced office environment, enjoys working with people, and can manage a variety of administrative and front-desk responsibilities with professionalism and attention to detail. The ideal candidate will have strong communication skills, solid computer proficiency, and the ability to prioritize tasks while supporting attorneys and staff with day-to-day office operations. Prior reception and/or administrative experience is helpful, but we are willing to train the right candidate. Responsibilities Greet clients and visitors in a professional and courteous manner. Answer and direct incoming phone calls on a multi-line system. Manage incoming and outgoing mail, email, and general correspondence. Schedule appointments, meetings, and conference room use. Provide administrative support to attorneys and staff, including general clerical assistance, correspondence management, and office coordination. Maintain and organize physical and digital client files. Record and securely store client information. Communicate with clients and other outside contacts in a professional manner. Assist with client intake and routing inquiries to the appropriate team member. Help maintain orderly front-desk and office operations. Support document preparation, scanning, copying, and filing. Assist with other office administrative tasks as assigned. Qualifications Prior experience in a receptionist, administrative assistant, or legal administrative role preferred Strong written and verbal communication skills Proficiency in Microsoft Word and general computer skills required Strong organizational skills and attention to detail Ability to prioritize tasks and multitask effectively in a busy office environment Personable, enthusiastic, and client-service oriented Professional demeanor and dependable work habits Ability to maintain confidentiality and handle sensitive information appropriately. Preferred Attributes 1-2 years' experience working in a law office or other professional office setting Comfort interacting with clients, attorneys, and staff in a professional environment Ability to work independently while also functioning as part of a team
