Job Description

Org. Setting and ReportingThis position is located in New York within the Appeals Section (AS), Administrative Law Division (ALD), Office of Human Resources (OHR), Department of Management Strategy, Policy and Compliance (DMSPC). The incumbent reports to the Legal Officers or the Chief of the Appeals Section. The Division is in charge of the implementation of the United Nations (UN) standards of conduct for all categories of personnel across the UN Secretariat. ALD provides strategic and legal advice on internal justice matters and represents the Secretary-General before the United Nations Dispute Tribunal. ALD handles disciplinary matters relating to Secretariat staff members, oversees and coordinates efforts and actions to prevent and respond to unsatisfactory conduct, and works to empower and support UN Secretariat managers in the exercise of their responsibilities to address conduct and discipline matters. ResponsibilitiesThe Legal Assistant is responsible for the following duties:
  • Undertakes and manages the administrative details relating to the Section's caseload before the United Nations Dispute Tribunal (UNDT), including assisting in developing and maintaining the database for the cases.
  • Conducts basic research on assigned issues, using existing legal files and alternative sources (e.g. computer-assisted searches using the internet, intranet or other databases).
  • Assists in the maintenance of a body of legal reference files to ensure rapid retrieval of critical information; conducts reference searches upon request; reviews material and determines appropriate file classification category; identifies material for inclusion in files; participates in initiatives to enhance existing systems for records management and retrieval, including development of proposals for consideration.
  • Drafts, edits and conducts final check for accuracy of a variety of specialized documentation, legal publications, and related correspondence.
  • Manages and finalizes all administrative matters relating to submissions, including organizing and managing the process for obtaining evidence, witness statements and related documents from internal/external sources.
  • Independently handles a variety of relatively complex verbal and written inquiries from internal and external parties, including providing detailed information on processes and procedures related to a range of legal activities, instruments, issues, etc.
  • Maintains internal databases on cases for tracking and trend analysis; generates a variety of standard and non-standard statistical and other reports from various databases, and posting of documents on the website.
  • Provides general office support services; processes, drafts, edits, proofreads and finalizes for signature/approval a variety of correspondence and other communications, specialized legal documentation; performs budget preparation input monitoring and implementation in IMDIS, etc.
; sets up and maintains files/records (electronic and paper); schedules appointments/meetings, monitors deadlines, etc.

Work ExperienceSeven years of experience in paralegal work, conference servicing, general office support or related area is required. Experience in supporting Legal Officers, Lawyers or Judges at the United Nations or other similar international organization is desirable. Experience with staff regulations and rules, policies, procedures and operations of the United Nations or other similar international organization is desirable. LanguagesEnglish and French are the working languages of the United Nations Secretariat. For this job opening, English is required. French is desirable.
