Job Description:
We are seeking a polished, proactive, and highly organized professional to join our team as a Receptionist/Legal Assistant. In this role, you will be the "face of the firm" in our Tulsa office, serving as the first point of contact for clients and visitors while providing critical administrative and litigation support to our attorneys. This is a fully on-site position in a professional business-casual environment, requiring someone who balances front-office hospitality with technical precision.
Key Responsibilities:
Front Office Excellence:
Act as the primary face and voice of the firm, greeting visitors and managing a high volume of incoming inquiries with tact and professionalism.
Case & Document Management:
Organize and maintain case files in both physical and electronic formats; utilize litigation support software to ensure seamless document retrieval and filing.
Legal Support:
Assist the legal team by preparing witness and exhibit binders for trial and depositions, and drafting/processing essential legal correspondence.
Operational Logistics:
Oversee daily office workflows, including managing mail, coordinating legal document delivery, and maintaining office supply inventory.
Administrative Coordination:
Provide general support through scanning, filing, and managing correspondence to ensure seamless daily operations.
Qualifications:
Technical Proficiency:
Strong command of Microsoft Office (Word, Outlook, Excel) and Adobe. Experience with legal databases, document management, or imaging systems is a significant advantage.
Organizational Skills:
Demonstrated ability to work independently, manage competing priorities, and meet critical deadlines with high attention to detail.
Communication:
Excellent verbal and written skills, with the ability to maintain a professional demeanor when interacting with clients and court staff.
Proactive Mindset:
A self-starter who takes ownership of tasks and is eager to learn new technologies and systems.
