The ideal candidate is a proactive self-starter who can work independently, manage multiple priorities, and effectively navigate court filing processes and follow-up procedures. This role offers the opportunity to work closely with attorneys on estate administration, Surrogate's Court filings, and related real estate and foreclosure matters. Key Responsibilities Assist with opening and closing estates in Pennsylvania and New Jersey Assist with client intake and gathering estate-related documentation and asset information Prepare probate petitions, applications, complaints, pleadings, and related Surrogate's Court filings Coordinate and complete electronic and manual filing processes, including follow-up with courts regarding filing status, deficiencies, and additional documentation requests Coordinate issuance of Letters Testamentary and Letters of Administration Draft beneficiary notices, waivers, certifications, and related correspondence Maintain probate calendars, monitor court deadlines and statutory requirements, and track case milestones Manage and maintain a high-volume caseload across probate, foreclosure, and related matters Coordinate service of process and track proofs of service Review loan documents, title searches, and real estate records Assist with reverse mortgage matters and probate-related foreclosure coordination Communicate with courts, clients, lenders, servicers, financial institutions, title companies, opposing counsel, and third parties regarding case status and documentation Schedule and coordinate hearings, audits, and other court-related appearances as needed Maintain accurate electronic and physical case files and update case management systems Ensure compliance with court rules, statutory requirements, and firm policies Provide administrative and legal support to attorneys and legal staff Qualifications Minimum 2+ years of paralegal experience required Experience handling probate and estate administration matters, including Surrogate's Court filings and procedures, strongly preferred Experience with foreclosure or real estate matters is a plus Working knowledge of Pennsylvania probate procedures required; New Jersey experience preferred Strong understanding of court filing procedures and litigation deadlines Ability to independently manage assignments and follow matters through completion Excellent organizational, time management, and communication skills Proficiency in Microsoft Office and legal case management software Ability to manage multiple matters simultaneously in a fast-paced environment Ability to handle confidential information with discretion Bilingual Spanish-speaking skills are a plus, but not required Notary Public certification (or ability to obtain after hire) preferred
