Legal Assistant (Business / Employee Benefits) Cincinnati, OH Hybrid Schedule (4 days in office, 1 day remote) Monday-Friday | 8:00 AM-5:00
PM Pay Range:
$60,000-$72,000/yr. (Final compensation will be determined based on factors such as experience, skills, education, and internal equity.) We are seeking a Legal Assistant who will support four attorneys in our Employee Benefits Practice Group within the Business Industry Group, while also providing support to other practice groups as needed. General Description Under general supervision and in accordance with Firm policies and procedures, this position provides high-level administrative and legal support to attorneys and their clients, maintaining positive and professional communication across the board. The Legal Assistant ensures timely and accurate completion of work assigned by multiple attorneys, including document preparation, client communications, calendar and deadline management, billing support, meeting coordination, and overall practice support. Success in this role is driven by exceptional attention to detail, strong organizational skills, and a commitment to accuracy. This position is ideal for an experienced Legal Assistant and may also be a strong fit for a highly skilled Executive Assistant with experience supporting multiple professionals in a fast-paced, client-focused environment. Education & Experience High school diploma or equivalent required Minimum of three (3) years of experience as a Legal Assistant, Legal Secretary, Executive Assistant, or in a comparable professional support role Prior law firm or professional services experience Experience supporting multiple attorneys or professionals Employee benefits experience preferred Knowledge, Skills, & Abilities Strong typing, formatting, and proofreading skills with exceptional attention to detail Ability to identify and correct inaccuracies, inconsistencies, and missing information in documents, forms, and client records Excellent organization, time management, and communication skills Ability to manage calendars, deadlines, and multiple priorities effectively Strong client service orientation and professional phone etiquette Comfortable working independently while collaborating as part of a team Flexible and responsive to time-sensitive demands; willingness to work beyond regular business hours when necessary Proficient in Microsoft Office Suite; experience with tools such as iManage, Aderant, Interaction, and PreBill Manager is a plus Ability to maintain confidentiality and exercise sound judgment in handling sensitive information Essential Duties and Responsibilities Prepare and edit legal documents, correspondence, reports, and internal forms accurately and efficiently Review documents and forms to ensure accuracy and completeness, including verification of client and plan information, dates, addresses, identification numbers, and other critical details Coordinate the preparation, organization, maintenance, and updating of employee benefit plan documents and related electronic records Maintain plan books, client files, and electronic document management systems in accordance with firm procedures Draft engagement letters, set up new client matters, and assist with client onboarding activities Schedule meetings, prepare agendas and supporting materials, and coordinate meeting logistics for attorneys and clients Maintain calendars, schedule appointments, and monitor deadlines for assigned attorneys Serve as a primary point of contact for clients, handling phone calls and correspondence professionally and efficiently Assist with document organization, including preparation of tables of contents and other supporting materials as needed Proactively review and release attorney time entries and assist with billing and pre-bill review processes to meet monthly deadlines Coordinate travel arrangements and submit expense reports for assigned attorneys and team members Perform or oversee administrative tasks such as scanning, copying, filing, mail distribution, document management, and file maintenance Support other attorneys and legal assistants during high-volume periods or team member absences Assist with special projects and other responsibilities as assigned
