Job Description

Trusts and Estates ParalegalPosition Overview We are seeking a detail-oriented Trusts and Estates Paralegal to support attorneys in probate, trust administration, estate planning, and related litigation. The ideal candidate will combine strong technical and litigation-support skills with excellent client communication, document management, and case organization to ensure accurate, timely handling of matters from intake through closing or trial.

Key ResponsibilitiesSupport attorneys in all phases of trusts, estates, probate, fiduciary administration, and related litigation, including preparing petitions, accountings, pleadings, affidavits, and motions.

Perform document review and document management for estate and litigation matters, including redaction, indexing, and organization of electronic files.

Prepare and manage court filings using PACER/CM/ECF and local e-filing systems; maintain calendaring and docket management to track deadlines and hearings.

Draft and assemble discovery responses, subpoenas, privilege logs, deposition summaries, and trial exhibits; assist with trial preparation and courtroom logistics.

Conduct legal research and cite-checking using LexisNexis, Westlaw, and Bluebook citation standards; perform compliance and regulatory research as needed.

Manage electronic discovery workflows, including use of Relativity, Summation, and other eDiscovery platforms, and coordinate with vendors for processing and production.

Create and maintain virtual data rooms (Intralinks, Merrill) and manage secure document sharing with clients and opposing counsel.

Draft and assemble estate planning documents and form generation using HotDocs, ContractExpress, and iManage; maintain templates and precedents.

Assist with corporate and probate filings, title searches, and transactions related to estate administration and trust funding.

Serve as a primary point of contact for clients, beneficiaries, fiduciaries, courts, and service providers; handle routine communications professionally and confidentially.

Maintain case management and practice management systems (Clio, PracticePanther, ProLaw) and time & billing systems (Aderant/Elite); ensure accurate timekeeping and billing entries.

Oversee records retention and archival processes; ensure compliance with firm and regulatory retention policies.

Perform notary duties and assist with client execution of documents and closing logistics.

Support litigation support and trial teams with exhibit preparation, technology setup, and coordination with IT or vendors.

QualificationsParalegal certificate, associate degree in paralegal studies, or equivalent legal experience; bachelors degree preferred.3+ years of experience supporting trusts and estates matters and related litigation, with proven probate and trust administration experience.

Demonstrated proficiency with document review and document management tools and platforms.

Experience with LexisNexis, Westlaw, PACER/CM/ECF, eDiscovery tools (Relativity, Summation) and litigation support workflows.

Familiarity with HotDocs, ContractExpress, iManage, SharePoint, and virtual data rooms (Intralinks, Merrill) for document generation and collaboration.

Strong Microsoft Office skills (Word, Excel, Outlook) and Adobe Acrobat/PDF redaction experience.

Experience with case and practice management software such as Clio, PracticePanther, ProLaw, and time & billing systems like Aderant/Elite.

Proven legal drafting skills (pleadings, motions, affidavits), discovery responses, deposition summaries, and trial preparation support.

Excellent organizational skills, attention to detail, and ability to manage multiple matters and deadlines simultaneously.

Strong written and verbal communication skills and a client-service orientation; ability to handle sensitive and confidential information with discretion.

Knowledge of Bluebook citation rules, contract review processes, corporate filings, and basic compliance/regulatory research.

Notary public certification or willingness to obtain; prior experience performing notarizations a plus.

Ability to work both independently and as part of a team, with sound judgment and professional demeanor.
