Full Job Description Real Estate and Land Use Administrative Assistant:
Position Overview:
A mid sized law firm with a strong real estate, zoning, and land use practice seeks a highly organized, detail oriented Administrative Assistant to support attorneys, planners, and paralegals. This role is ideal for someone who thrives in a fast paced environment, enjoys managing complex workflows, and is comfortable interacting with clients, municipal agencies, and internal teams.
Key Responsibilities:
Administrative & Attorney Support:
This position will require the management of attorney calendars, schedule meetings, coordinate hearings, and track critical deadlines. Preparation, proof-reading and formatting correspondence and legal documents will be required, as will the organization and maintenance of electronic and physical files in accordance with firm protocols. An Administrative Assistant will also assist with conflict reports, opening of files, engagement letters, billing, expense reporting and monthly invoicing.
Real Estate and Land Use Support:
This position will provide significant experience in the preparation and submission of zoning, permitting, and land use applications to local jurisdictions, tracking application status, deadlines, public hearing dates and agency communications, coordinating with civil engineers, architects, surveyors and municipal staff to gather required documentation, assist with compiling due diligence materials, including title documents, plats, deeds, and environmental reports, and maintaining project timelines and ensure all required materials are submitted accurately and on time. This position will require learning how to complete basic research on municipal codes, zoning ordinances, and land use procedures and assist with document production for closings, hearings, and public meetings.
Goals:
It is our intent that the position filling this position will obtain significant experience and develop skills to continue their professional development to a point that includes paralegal and planning work.
Qualifications:
2-4 years of administrative experience; law firm or professional services experience preferred as is a strong proficiency in Microsoft Office (Word, Outlook, Excel, PowerPoint). Excellent writing, proofreading, and organizational skills are a requirement along with the ability to manage multiple deadlines with accuracy and attention to detail. Professional communication skills and comfort interacting with clients and government agencies is also required. Experience in real estate, zoning, land use, or municipal processes and familiarity with real estate transactions is preferred.
