Full-time About Us We are a small, boutique real estate law firm serving clients across Rhode Island and Massachusetts. We pride ourselves on personalized service, attention to detail, and smooth closings. We are seeking a friendly, detail-oriented Legal Assistant / Receptionist to be the first point of contact for clients and to support our attorneys in real estate transactions. Key Responsibilities Greet clients and manage front-desk reception duties in a professional, welcoming manner. Answer and route incoming phone calls; maintain a courteous, client-focused phone presence. Monitor and respond to firm email inboxes; draft, format, and send correspondence. Manage client intake:
collect documents, confirm contact details, explain next steps. Support real estate closings:
prepare and assemble closing packages, coordinate signing appointments, track deadlines and document flow. Maintain client files, calendars, and task lists to ensure timely follow-up and excellent client service. Coordinate with lenders, title companies, realtors, and other parties as needed. Perform general office administration:
scanning, filing, invoicing support, and supply management. Maintain confidentiality and adhere to firm policies and legal ethics. Qualifications 1-3+ years administrative or legal support experience preferred; experience in real estate law or real estate closings a plus. Willing to train the correct candidate. Strong phone and email communication skills; professional, client-focused demeanor. Highly detail-oriented with excellent organizational and time-management skills. Comfortable managing multiple tasks and deadlines in a fast-paced environment. Proficiency with Microsoft Office (Word, Excel, Outlook) and experience using calendaring/task systems. Experience with closing/transaction software (e.g., Qualia) is beneficial but not required. Familiarity with Rhode Island and Massachusetts real estate practices is a plus. High school diploma required; associate's degree or paralegal certification preferred. Ability to maintain strict confidentiality and handle sensitive client information.
