Job Description
Paralegal - Multi-Firm Legal Coordinator Position Overview We are seeking a highly organized, detail-oriented Paralegal to serve as the central coordination point between three law firms and the owner of multiple businesses. This role requires exceptional communication skills, discretion, and the ability to manage multiple legal matters simultaneously. The Paralegal will ensure seamless information flow, track legal priorities, and help drive timely execution across all legal initiatives. Key Responsibilities Legal Coordination & Communication Serve as the primary liaison between three law firms and business ownership Coordinate communications, requests, and deliverables across multiple legal teams Track legal matters, deadlines, and priorities across all businesses Ensure timely follow-up and resolution of legal requests and open items Schedule and coordinate meetings, calls, and legal reviews Document Management & Organization Maintain organized digital and physical legal filing systems Review, organize, and distribute contracts, agreements, and legal documents Track revisions and ensure proper version control Assist with contract execution and signature coordination Project & Case Tracking Monitor multiple legal projects across different companies Maintain tracking dashboards for legal matters and deadlines Provide status updates to ownership and key stakeholders Assist with regulatory compliance tracking across businesses Administrative Legal Support Draft correspondence and legal summaries Prepare reports and briefing materials for ownership Assist with corporate filings, registrations, and compliance tasks Coordinate with accountants, operations teams, and leadership when needed Qualifications 2+ years of Paralegal or Legal Assistant experience (Required) Experience working with multiple attorneys or law firms strongly preferred Strong organizational and project management skills Excellent written and verbal communication skills Ability to handle confidential information with discretion Proficiency in Microsoft Office, Google Workspace, and document management systems Ability to manage multiple priorities in a fast-paced environment Key Traits for Success Highly organized Proactive and detail-oriented Strong communicator Deadline-driven Professional and discreet Preferred Experience (Bonus) Corporate law or business law experience Experience supporting multiple companies or executives Contract management experience Compliance or regulatory experience With this position it is possible to be working in any of our offices i.e. warehouse in Bristol, TN, the hanger at the airport in Kingsport or our main office in Gray, TN.
