The ideal candidate will have 2-5 years' experience in litigation support. Experience in construction litigation, commercial litigation, insurance defense litigation, or labor and employment law is a plus. This position will be responsible for providing in person hands-on administrative support to 1 Partner in our Arlington Office and remote hands-on support to 2 Partners in our Houston office.
ESSENTIAL DUTIES & RESPONSIBILITIES
Document Preparation & File Management Prepare, proofread, and format legal documents, including correspondence and pleadings. Organize and maintain electronic files and ensure proper document storage and retrieval. Administrative & Operational Support Submit conflicts requests to initiate new client and matter files. Coordinate and schedule travel, meetings, and appointments. Submit expense reimbursements in a timely manner. Provide overflow assistance and perform additional administrative and secretarial duties as needed. Practice Support Support attorneys and legal staff across multiple practice areas with day-to-day administrative needs. Apply basic knowledge of legal terminology, documents, and court systems to support workflow processes . Collaboration & Communication Maintain effective communication with attorneys, clients, and staff. Work collaboratively across teams while managing competing priorities. Demonstrate professionalism, discretion, and confidentiality in all interactions.
QUALIFICATIONS
High school diploma or GED required; bachelor's degree preferred. Minimum of 2 to 5 years of administrative experience in a law firm required. Proficiency in Microsoft Office Suite and Adobe Acrobat Pro. Organization and management of case files. Electronic filing of legal documents. Helping attorneys prepare for deadlines, hearings, and arbitrations. Calendar maintenance in Outlook and Centerbase (the firm's case management system). General office management tasks, such as supply inventory management and answering calls to the main office line. Knowledge of legal terminology, legal documents, and court systems. Strong organizational, proofreading, and editing skills with attention to detail and accuracy. Excellent communication and interpersonal skills. Ability to prioritize tasks and manage multiple demands in a fast-paced environment. Ability to work independently and as part of a team. Ability to handle confidential information with discretion. Assisting with other projects as needed.
