This entry-level position is ideal for an individual interested in developing administrative and legal support skills in a professional office environment. The successful candidate will serve as the first point of contact for clients and visitors while providing administrative and clerical support to attorneys and staff. Essential Duties and Responsibilities Reception and Client Service Greet clients, visitors, and vendors in a professional and courteous manner. Answer and direct incoming telephone calls with a smile. Schedule appointments, meetings, and conference calls. Maintain reception area and conference rooms. Receive, sort, and distribute incoming mail and deliveries. Prepare outgoing mail and coordinate courier services. Administrative Support Maintain physical and electronic filing systems. Scan, copy, organize, and file documents. Enter and update client and case information in firm databases. Assist with document preparation and correspondence. Manage calendars and scheduling for attorneys and staff. Order and maintain office supplies. Legal Assistant Support Assist attorneys and paralegals with preparation of legal documents, pleadings, and correspondence. Organize and maintain client files and case records. Assist with e-filing documents with courts and governmental agencies. Request and obtain records from courts, governmental agencies, and third parties. Prepare document binders and exhibits for hearings, mediations, and depositions. Track deadlines and assist with case management tasks. Conduct basic legal and factual research under attorney supervision. Qualifications High school diploma or GED required. Associate degree or some college coursework preferred. Prior office, customer service, or administrative experience is a plus but not required. Proficiency with Microsoft Office (Word, Outlook, Excel, and Adobe Acrobat). Strong verbal and written communication skills. Excellent organizational skills and attention to detail. Ability to maintain confidentiality and professionalism. Ability to prioritize tasks and manage multiple assignments. Knowledge, Skills, and Abilities Professional appearance and demeanor. Strong customer service skills. Dependable, punctual, and self-motivated. Ability to work independently and as part of a team. Willingness to learn legal terminology, procedures, and court filing requirements. Strong problem-solving and time-management skills. Physical Requirements Ability to sit, stand, and walk throughout the workday. Ability to lift and carry files and office supplies weighing up to 25 pounds. Ability to use standard office equipment, including computers, scanners, copiers, and telephones.
