Job Description

Full-Time Legal Administrative Assistant (Fredericksburg, VA - In-Person) Monteleon Law is a boutique elder law and estate planning firm focused on serving families with compassion, professionalism, and excellence. We value initiative, teamwork, and creating systems that allow us to better serve our clients while building a sustainable, supportive workplace for our staff. We are seeking a full-time Legal Administrative Assistant to join our growing Fredericksburg, Virginia office. This role is ideal for someone who enjoys being the organized, steady presence that keeps a busy law office running smoothly. You will play an essential role in client communication, intake, scheduling, file management, and administrative support while helping families navigate important legal and life planning matters.
What You'll Do:
Answer phones and serve as a warm, professional first point of contact for clients and prospective clients Manage client intake, scheduling, and attorney calendars Organize and maintain physical and digital client files Assist with document preparation, scanning, and data entry Handle time-sensitive errands such as court filings, document retrieval, and occasional off-site client interactions Support attorneys and legal staff with day-to-day administrative operations Maintain professionalism, confidentiality, and attention to detail in all client matters Assist with general office workflow and additional responsibilities as needed

Qualifications:
Prior administrative experience required (legal or professional office experience preferred) Strong organizational and time-management skills Microsoft Office and general office technology proficiency Professional demeanor and strong client service skills Certified notary public or willing to become one Ability to complete local work-related travel with reliable transportation and a valid driver's license
Compensation & Benefits:
$17-18 per hour, depending on experience and qualifications, plus PTO, paid holidays, mileage reimbursement, health insurance stipend, paid parking, and additional firm perks. Future opportunities for expanded benefits as the firm continues to grow

Our clients are often families navigating stressful elder law, estate planning, or guardianship matters. How would you maintain professionalism and empathy while still keeping the office workflow efficient? Describe the type of work environment in which you thrive most. If you noticed that an attorney was being scheduled for meetings or client calls without enough background information to be prepared for the meeting, what steps would you take to improve the process and ensure they were properly prepared moving forward?
