The work performed is highly confidential and sensitive in nature and follows established procedures and general directions; incumbents operate independently and apply established guidelines and alternatives to make routine judgments and decisions. Incumbents may develop and recommend changes in workflow or procedures that increase efficiency. Examples of Job Duties Other duties may be assigned as needed. Prepares, reviews, and evaluates department documents for appropriateness, completeness, and accuracy; processes documents according to guidelines. Assists with preparation of case files and legal documents. Provides customer service on the telephone or in-person to city staff, attorneys, and the general public; receives and screens visitors; and handles basic inquiries to the prosecutor's office. Prepares and processes a variety of legal forms and documents; submits to attorneys for approval, revision, or signature; ensures timely and accurate completion in accordance with legally mandated time frames, court requirements, and established departmental procedures and internal processing timelines. Maintains specialized databases, including entering and retrieving information for the prosecutor's office into the case management system. Sorts, compiles, and files records, reports, and other documents. Maintains confidential files and records; establishes and maintains an efficient records management system for efficient storage and retrieval of files and records. Prepares court calendars; coordinates arrangements for witness appearances at trials and hearings ensuring compliance with court procedures and service of process; schedules interviews with victims, witnesses and police officers. Processes discovery requests. Creates and maintains a variety of logs and other tracking tools. Relieves other clerical and office support personnel as needed. Assumes duties of the Paralegal in his/her absence. Removes and destroys records according to legal retention requirements. Qualifications A combination of the experience, education, and training listed below which provides an equivalent background to perform the work of this position.
Experience:
One year of general office experience or administrative support experience. Experience in a legal office, prosecutor's office, court system, or other government environment is preferred but not required.
Education and Training:
High school diploma or GED. Additional training or coursework related to assigned program area preferred. This position works in an office, and the noise level in the work environment is usually low to moderate. Non-union The City of Marysville offers a comprehensive benefit package for regular full-time employees. Regular part-time employees may be eligible for medical and dental coverage; however, they are not eligible for vision coverage.
