Job Description

Legal Administrative Assistant Hall, Render, Killian, Heath & Lyman, P.C., the nation's largest law firm focused exclusively on matters specific to health care organizations, seeks a friendly, energetic and experienced Legal Administrative Assistant ("LAA") for our Milwaukee office. The LAA will perform a wide variety of legal administrative and paraprofessional duties. The LAA will support multiple Attorneys in an inclusive team environment. Major duties of this position include providing comprehensive and efficient administrative support; preparing and editing correspondence, complex legal documents, presentation decks, tables and spreadsheets; managing complicated calendars; maintaining paper and electronic files; and time entry and billing tasks.

Key Roles and Responsibilities Support Attorneys by identifying reliable solutions while working within Firm policies and procedures. Develop proficiency in all required Firm software and provide first-line technical and administrative support to Attorneys. Draft, edit and proofread a variety of complex legal documents to ensure accuracy in spelling, grammar, punctuation, formatting and content. Create, organize and maintain both paper and electronic client files. Assist with timekeeping, transcription and payment processing, including coordination of billing requests and billing workflows (pro formas). Manage scheduling and calendar coordination to support Attorney/client deadlines. Coordinate travel arrangements and process expense reports in accordance with Firm guidelines. Communicate directly with external clients and Firm members in offices across the country. Manage Attorney membership, licensing and credentialing requirements. Serve as a backup Legal Administrative Assistant ("LAA") to ensure administrative team coverage and continuity. Knowledge, Skills, Experience & Education Ability to communicate with others at all levels in a pleasant and professional manner. Advanced proficiency in and knowledge of Adobe Acrobat and Microsoft Outlook, Word, PowerPoint and Excel functions, with an aptitude for quickly learning various other programs. Excellent administrative, writing, grammar and proofreading skills. Ability to work independently and with team members to find solutions to technical problems. Quality-minded and detail-oriented with strong organizational and time management skills. Flexibility in responding to ever-changing demands and types of work practices. High level of discretion and confidentiality with the ability to operate under minimal supervision. Ability to respond with a sense of urgency, be proactive and assertive, and manage up to senior levels. High school diploma. At least three years of law firm and/or legal department experience or equivalent experience required. Schedule/Location:
7.5-Hour Shift Monday to Friday; Office Presence at Hall Render's Milwaukee office
Travel & Physical Requirements:
No travel Prolonged periods of sitting at a desk and working on a computer Frequent use of hands and fingers for typing, writing and operating office equipment Occasional standing, walking, bending and reaching Ability to lift and carry up to 10-15 pounds (e.g., files, documents, office supplies) Visual acuity to read screens, review documents and analyze detailed information Ability to communicate effectively via phone, video and in person
