This position plays a critical role in maintaining regulatory compliance, supporting safety initiatives, monitoring driver performance, and assisting with company-wide risk management efforts. The ideal candidate will be responsible for coordinating safety programs, maintaining compliance records, monitoring Samsara telematics data, and assisting management in creating a culture of safety and accountability. Responsibilities Safety Program Administration Assist in the development, implementation, and maintenance of the company safety program Support the rollout and enforcement of safety policies, procedures, and initiatives Maintain safety manuals, forms, training records, and compliance documentation Track safety performance metrics and assist with reporting requirements Coordinate employee policy acknowledgments and training completion records Compliance & Documentation Maintain DOT driver qualification files and regulatory compliance records Assist with FMCSA, DOT, OSHA, and company compliance requirements Monitor expiration dates for licenses, medical certificates, permits, and required training Prepare documentation for internal audits, external audits, and regulatory reviews Ensure records remain accurate, organized, and audit-ready Telematics & Driver Monitoring (Samsara) Monitor daily Samsara alerts and driver performance metrics Review speeding, seatbelt, distracted driving, following distance, and harsh event reports Escalate policy violations and compliance concerns to management Maintain driver scorecards and performance tracking reports Assist with coaching documentation, corrective actions, and policy enforcement records Training & Development Schedule and coordinate new hire orientation and ongoing safety training Maintain training calendars, attendance records, and certification tracking Assist in developing training materials, presentations, and SOPs Track completion of required training and compliance programs Support driver coaching and performance improvement initiatives Terminal Audits & Field Support Assist with safety audits and compliance reviews at all company terminals Participate in site visits, inspections, and operational assessments Document audit findings and track corrective action completion Follow up with terminal management regarding identified deficiencies Assist with accident investigations and incident documentation Administrative Support Prepare safety reports, dashboards, scorecards, and executive summaries Maintain claims files, incident records, and compliance documentation Assist with accident reporting and record retention requirements Manage data entry, filing systems, and document control processes Support special projects related to safety, compliance, risk management, and operational improvement Qualifications 2+ years of experience in transportation, logistics, safety, compliance, or administrative support Knowledge of DOT, FMCSA, OSHA, or transportation regulations preferred Experience with Samsara or other telematics platforms preferred Strong organizational and recordkeeping skills Proficiency in Microsoft Office, especially Excel and Outlook Excellent communication and follow-up skills Ability to manage multiple priorities in a fast-paced environment Preferred Qualifications Transportation, fleet, or logistics industry experience Experience preparing documentation for audits or compliance reviews Familiarity with driver qualification files and DOT requirements Experience supporting training and onboarding programs
