Position Details Position Information Position Title Campus Assistant Position Number S216PD Branch Academic Administration Division Academic Adminstration (DIV) Department Academic Center - Hendersonville Location Hendersonville FLSA Non-Exempt Job Summary The Campus Assistant serves as the primary point of contact for the Hendersonville campus, providing exceptional customer service and administrative support to students, faculty, staff, and visitors. This position coordinates day-to-day campus operations and supports program administration to ensure an efficient, welcoming, and student-centered campus environment. About Union University Founded in 1823, Union University is a private, coeducational liberal arts-based university offering bachelor's, master's, and doctoral degrees, with a total enrollment of about 2,600. The main campus is located in Jackson, Tenn., with additional campuses in Memphis and Hendersonville. Essential Job Duties 1. Provide administrative support to the Campus Director and the Hendersonville campus, including preparing correspondence and reports, data entry, answering phones, scheduling meetings, greeting visitors, and serving as the primary point of contact for students, faculty, staff, and guests. 2. Manage daily office operations, including: Ordering and maintaining office supplies for the campus and academic departments as needed. Managing incoming and outgoing mail, including postage ordering and account maintenance. Creating and distributing student, faculty, and staff identification cards and parking permits. Processing invoices and submitting payment requests. Monitoring and maintaining inventories of office, janitorial, and campus supplies. 3. Coordinate campus facilities and operations, including: Serving as the primary liaison with building maintenance, custodial services, and other vendors. Coordinating facility maintenance and ensuring compliance with regulatory requirements, including fire safety, elevator inspections, and other building-related standards. Scheduling and overseeing building attendants as needed. Managing external organizations' use and rental of campus facilities. e) Controlling building access and monitoring campus activity to promote a safe and secure environment. 4. Manage classroom, conference room, and event space scheduling by maintaining all academic and campus events in Event Manager and coordinating requests from academic departments and campus stakeholders. 5. Plan and coordinate campus events, including information sessions, campus visits, advisory board meetings, student activities, and other special events. Responsibilities include arranging catering, securing refreshments, coordinating room setup and teardown, and ensuring a positive guest experience. 6. Foster a welcoming, professional, and student-centered campus environment by maintaining attractive and engaging common areas, coordinating seasonal and event-related decor, managing campus bulletin boards and displays, and supporting initiatives that enhance campus culture and hospitality. 7. Assist with student recruitment and enrollment efforts by serving as an initial point of contact for prospective students, responding to inquiries, preparing recruitment materials, and participating in on-campus and off-campus recruitment events as needed. 8. Support the promotion and visibility of the Hendersonville campus by: Representing the campus at community and special events. Creating and managing campus social media content. Designing and maintaining campus communications, displays, and bulletin boards. Writing and distributing a monthly internal campus newsletter. 9. Serve as the liaison between the Hendersonville campus and University departments, including Information Technology, Facilities, Communications, and other administrative offices, to ensure effective campus operations and support services. 10. Perform other duties and special projects as assigned in support of the mission and goals of Union University and the Hendersonville campus. Other Job Duties Required Qualifications An associate degree from an accredited college or university and a minimum of three years of progressively responsible clerical, administrative support, or office management experience are required. A bachelor's degree is preferred. Preference will be given to candidates with strong organizational abilities, exceptional attention to detail, and demonstrated excellence in oral and written communication.
