Position:
- We are currently seeking an experienced, highly motivated, self-sufficient, highly organized and detail
- and goal-oriented Firm Administrator to join our close-knit, fast-growing team.
- This ideal candidate will be a senior-level executive (or equivalent) who will oversee the Firm's day-to-day operations, accounting and billing oversight, financial reporting, manage staff, and internal controls and procedures.
- This person will put into place and maintain standard operating procedures for a growing firm, and will provide oversight to a growing team, currently at 22 employees.
- This person will be responsible for producing accurate financial statements, ensuring regulatory compliance, managing staff, and providing financial analysis to support strategic business decisions.
- Personality, leadership, character, intelligence, and integrity will be paramount considerations.
- This position requires, at a minimum, a procedural understanding of drafting and disseminating standard operating procedures for a law firm.
- Must be familiar with utilizing Microsoft Office 365.
- Must be familiar with the basic Human Resource and Employment law compliance requirements in the state of California. The primary responsibilities of the role include, but are not limited to:
- Provide direct administrative support to the firm owner and partners;
- Manage calendars, schedule meetings and update the firm-wide task list;
- Address employee inquires regarding HR policies and procedures as need be;
- Handle confidential matters with discretion and professionalism;
- Coordinate office equipment maintenance and repairs; and
- Oversee the firms day to day activity to ensure compliance with all firmwide policies and procedures.
Requirements:
- Must have reliable transportation to and from the Office.
- Strong and reliable work ethic.
- Ethical and trustworthy, maintaining client confidentiality and handling sensitive financial and/or Client related information responsibly.
- Attention to detail is required.
- Excellent organizational skills.
- Ability to lead and manage a team, while also being a team player.
- Able to follow directions and stay focused with minimal distractions.
- Audit and payroll tax experience is a plus but not necessary.
- Experience with Microsoft functions such as Word, Excel, and Outlook.
Qualifications:
- Minimum of 5 years' experience as an Office Administrator, Controller, or similar role.
- Bachelor's degree in accounting, Finance, or Business Administration. MBA degree is highly encouraged.
- Minimum of 5 years of professional experience in a law firm environment ideal, but not mandatory.
- Minimum of 5 years of experience leading teams and managing people.
- Strong communication skills for interaction with all levels of the organization.
- Technical capability to prepare, analyze, and interpret financial and operational data/reports.
- Demonstrated analytical and thinking skills; Intellectual rigor and curiosity; problem-solving capability. Who will you be Accountable for:
- This person will work closely with the Managing Shareholder, Partner Attorney, Supervising Paralegal, and Office Manager to hold support staff and associate attorneys accountable and task oriented.
- Collaborate and build relationships with leadership team and employees, providing data and insights that help managers and executives make informed decisions.
- Contribute to the top and bottom line by supporting business partner growth, productivity, and insourcing/outsourcing.
- This person will perform various internal follow-up duties related to managing workloads for all Attorneys and Paralegals.

Salary Range:
- $100,000
- $150,000 Annual Salary (Negotiable Based on Experience).
- Salary is commensurate with skill and experience and is negotiable.

$100,000.00- $150,000.
