Job Description

This position is advertised from the minimum to the mid-point hourly rate. Salary will be determined based on education and experience at the time of offer.
NATURE OF WORK
Under minimal supervision, assists in the supervision of the office support staff and performs legal secretarial duties. This position has department specific responsibility. (Illustrative Only) Assists with the supervision, trains, and coordinates the activities of clerical and support staff; provides training, instruction, and orientation to new employees; participates in interviewing and selecting new employees; maintains personnel files and time sheet records; determines work schedules; trains and guides new employees on the policies and procedures, including the preparation of the arraignment calendar; provides backup for the preparation of payroll and new cases flow processing; handles the more complex and technical problems and customer inquiries; assists with the preparation of the statistical and financial reports for grants fund expenditures; provides administrative and legal secretarial support to senior attorneys; schedules appointments and meetings; maintains attorney and court calendars; provides input for budget preparation; formats and types letters, memoranda, and various legal documents for the review, approval and use by an attorney; prepares and processes confidential and sensitive documents; assists in developing and implementing administrative and personnel policies and procedures; maintain high standards of confidentiality; serves as a backup in absence of Supervisor; regular and reliable attendance is required; performs other duties as assigned. High School Diploma or GED equivalent; AND four (4) years of progressively responsible experience as a legal secretary; AND one (1) year of supervisory experience; OR an equivalent combination of education and experience.; requires successful completion of a background check.
Knowledge of:
County policies and procedures; legal terminology, forms, principles and procedures; modern office practices and procedures; business English, spelling, punctuation, and grammatical usage; principles and practices of office administration and supervision; state civil and criminal law and judicial procedures; budgetary principles, practices and procedures.
Skill in:
planning, organizing and supervising the activities of assigned support staff; prioritizing work assignments to meet time constraints; using computers and advanced level software applications; performing advanced legal secretarial and administrative duties; communicating clearly and concisely, both verbally and in writing; establishing effective working relationships with employees and the public; maintaining confidentiality; meeting and dealing tactfully with the public. Ability to effectively respond to phone calls, emails and complaints in a timely manner; plan, prioritizes, manages and responds to multiple assignments in a fast-paced environment; read, write, research, synthesizes data and detailed reports; assigning and leading the work of others; planning and organizing work. Use modern office equipment and computers; communicate effectively verbally and written; ft up to 5 - 25 lbs; perform the essential functions of the job specifications with or without a reasonable accommodation.
Working Environment:
The usual and customary methods of performing the job's functions require the following physical demands: occasional lifting, carrying, pushing, and/or pulling; some stooping, kneeling, crouching, and/or crawling; and significant fine finger dexterity; generally the job requires 60% sitting, 20% walking and 20% standing; working at a computer monitor for extended periods required.; the job is performed under minimal temperature variations and in a generally hazard free environment.
