This Long-term Contract position requires someone who can interpret lease language, validate charges, and maintain accurate records while working with landlords, subtenants, and internal stakeholders. The ideal candidate is organized, analytical, and comfortable managing multiple priorities in a fast-paced environment.

Responsibilities:

Examine lease files, legal documents, and related records, then capture and maintain accurate information within company systems. Organize and safeguard lease documentation by managing filing, retrieval, scanning, storage, and incoming mail distribution processes. Validate landlord and vendor billings against lease provisions, obtain supporting documentation, and confirm that calculations and charges are correct. Perform desktop reviews of common area maintenance, insurance, and real estate tax reconciliations, identifying discrepancies and resolving issues directly with landlords. Administer subtenant activities by tracking rent collections, processing pass-through charges, and coordinating year-end reconciliation items. Communicate key lease milestones, policy-related matters, and responses to property inquiries with clients, landlords, and internal business partners. Review estoppels and subordination, non-disturbance, and attornment agreements to ensure alignment with governing lease terms. Prepare reports on financial obligations, critical dates, exceptions, and savings opportunities, while recommending corrective actions when issues arise. Support portfolio planning by setting task priorities, managing special projects, updating process documentation, and guiding team members on assigned work. 5-7 years of experience in lease administration, real estate portfolio support, or a closely related legal or property function. Strong ability to interpret lease terms, estoppels, and related real estate documents with a high level of accuracy. Hands-on experience reviewing invoices, reconciliations, billing support, and financial obligations tied to leased properties. Knowledge of common area maintenance, insurance, and real estate tax audits, including discrepancy identification and dispute handling. Proficiency in document management, file organization, records maintenance, and scanning or storage procedures. Excellent communication and judgment when working with clients, landlords, subtenants, and cross-functional stakeholders. Proven ability to manage multiple deadlines, prioritize workload effectively, and contribute to special projects or team guidance responsibilities.
