- Full-time Ross Bus Sales is seeking a dynamic and detail-oriented Service Writer to join our fast-paced dealership team.
We are a family owned business that is Louisiana's only authorized Blue Bird and Micro Bird bus dealer. We sell, service, and support school bus and fleet customers across the state. In this vital role, you will serve as the primary link between our technicians, customers, and billing. This is a front-line position that requires someone who is organized, detail-oriented, proactive, has good people skills and is comfortable moving between the office and the lot. What You'll Be Doing Processing Repair Orders (ROs): Writing repair orders, reviewing completed work, determining billing amounts, and verifying that all jobs meet our quality standards before closing
Invoice Writing:
Translating technician repair notes into clean, accurate, professional language ready for customer invoices
Document Management:
Scanning and organizing repair orders and service records into our system with accuracy and consistency
Insurance Coordination:
Working directly with insurance companies to manage claims and documentation on collision repair jobs
Bus Check-Ins:
Inspecting and logging incoming buses (lease returns, new units, and customer pay vehicles) with a sharp eye for any pre-existing damage, cracks, scratches, or body issues
Workflow Management:
Tracking job progress to keep work flowing smoothly
Customer Communication:
Answering phones, greeting walk-in customers, and maintaining professional, clear communication throughout the service process
Lot Operations:
Moving buses around the lot as needed and maintaining an organized, functional service yard
Software Utilization:
Working within Auto Integrate and Voyager platforms for job tracking and billing (training provided) What We're Looking For Strong organizational skills Proactive mindset Excellent customer service skills and the ability to communicate technical information clearly and professionally Excellent written communication skills with the ability to edit rough technician notes to produce polished, professional invoice language Must be computer literate with ability to learn new software efficiently Strong observation skills and ability to notice small things Ability and willingness to move from office to lot frequently Basic mechanical or maintenance knowledge and/or prior experience in automotive or fleet service writing is preferred Familiarity with insurance claims processes for vehicle repair is a plus Join us to be part of a vibrant team dedicated to delivering top-tier customer service while fostering your professional growth.
