This position manages repair orders, schedules maintenance, and ensures all necessary parts and inventory are organized, tracked, and available. This dual-role position is ideal for someone who thrives in a dynamic environment, is highly organized, and understands the importance of operational readiness. Core Responsibilities Service Writing & Maintenance Coordination Open, manage, and close work orders for fleet repairs and preventative maintenance Communicate vehicle issues and job status with drivers, technicians, and supervisors Schedule inspections, repairs, and warranty work with internal and external partners Maintain accurate service documentation and reporting Track and escalate overdue repairs or vehicle issues as needed Parts & Inventory Management Order, receive, and issue fleet-related parts and materials Maintain an organized inventory system and track part usage in real-time Conduct routine stock checks and adjust inventory levels to support demand Communicate with vendors for pricing, order tracking, returns, and warranties Support technicians by ensuring timely access to required parts and tools Minimum Qualifications High school diploma or GED 2+ years of experience in a fleet, dealership, or maintenance shop setting Knowledge of automotive or heavy-duty vehicle systems and parts Familiarity with inventory and repair order software systems (preferred) Computer proficiency (Microsoft Excel, Word, inventory platforms) Valid and insurable driver's license Strong communication, organization, and multitasking skills Preferred Skills Experience with fleet management software Understanding of DOT regulations and PM scheduling Bilingual (English/Spanish) a plus, but not necessary Physical Demands & Competencies Ability to lift 50+ lbs and perform tasks involving standing, walking, bending, and reaching Comfortable working in a warehouse/shop environment and around heavy vehicles Must be able to move parts, tools, and materials safely and efficiently Detail-oriented with the ability to manage time and prioritize work independently Work Schedule Full-time, non-exempt position Standard hours: Monday - Friday Occasional overtime or weekend work as needed during peak maintenance or repair times Regular and reliable attendance is essential Training & Development Expectations New Competencies Use of inventory and work order systems PM scheduling and fleet coordination Internal and vendor warranty processing Parts ordering and return procedures Safety and hazard communication for shop operations Ongoing Refreshers Fleet software and reporting tools DOT compliance updates Safety standards for shop and yard operations Communication and escalation protocols Inventory control and audit procedures
