High school diploma or equivalent. Two years of experience in general office practices, procedures, and equipment or any equivalent combination of education, training, and experience which provides the required knowledge, skills and abilities.Knowledge :
Office administrative and secretarial practices and procedures such as business letter writing and operation of standard office equipment including personal and networked computers, Windows NT, and Microsoft Office Word, Excel, and Power Point software. Knowledge of vehicle management software and accounting software preferred. Project management procedures and techniques. Recordkeeping, report preparation, filing methods, and record management techniques. Correct English usage and excellent communication skills, both verbal and written. Standard business arithmetic, including percentages and decimals. Fiscal year budget process and budget document preparation. Automotive terminology helpful.Skills :
Typing at rate of 40 net words per minute. Proficient use of Microsoft Office software. Analytical skills. Interpersonal skills. Organizing and prioritizing tasks and maintaining filing and recordkeeping systems. Routine and complex mathematical computations.Mental and Physical Abilities :
Applicant must have excellent attention to detail as well as the ability to concentrate on several projects and during interruptions. Ability to receive and follow oral and written instructions. Ability to work independently while managing multiple projects or work assignments at any given time and apply sound judgment when resolving problems and complaints. Ability to work under pressure and meet deadlines. Ability to work with and maintain confidentiality of divisional personnel records and information. Limited amount of physical effort required associated with walking, standing, lifting, and carrying light objects (less than 25 lb.) 5-10% of work time. Ability to maintain regular, predictable and punctual attendance.DUTIES AND RESPONSIBILITIES
Performs secretarial, administrative and public contact duties for the Fleet Division. Interfaces with the public and employees to provide assistance and information regarding divisional services; responds to general requests. Answers the telephone and screens and routes calls. Composes, types, prepares, and routes information to include memos, letters, reports, forms, and other types of correspondence. Receives, compiles, codes, records, and verifies information for processing. Compiles information from various sources in order to prepare reports. Reviews, codes, and files documents by designated sorting methods; maintains archival information. Maintains and monitors manual and/or computerized recordkeeping systems; prepares statistical and summary reports. Reviews, verifies, and enters data into a computer; generates both routine and complex reports; establishes and maintains spreadsheets and databases; performs comparative analysis. Prepares and processes personnel and payroll records. Photocopies and facsimiles a variety of documents. Receives, opens, and routes departmental mail. Inventories and orders office supplies. Serves as staff support for various projects and/or events. Assists other divisional personnel. Represents the division in a courteous, tactful, and helpful manner. Maintains confidentiality of information which is not considered public information. Performs other related work as required.WORKING CONDITIONS
Work is performed in an office environment where physical discomforts associated with noise, dust, dirt and noxious fumes and odors are encountered 10-15% of the time. Occasional exposure to shop area.Additional Information:
