Job Summary We are seeking a reliable, customer-oriented Service BDC Specialist & Appointment Scheduler to join our Business Development Center (BDC) team full-time. In this role, you will act as the vital communication link between our customers and our vehicle service departments. Operating exclusively on a stable hourly compensation structure, your focus will be entirely on delivering exceptional customer service, answering vehicle maintenance inquiries, and managing our service department's calendar to ensure an efficient, optimized daily shop workflow. Key Responsibilities
Inbound Service Logistics:
Answer inbound phone calls, internet inquiries, and live chats from customers looking to schedule routine maintenance, diagnostic appointments, and factory recall updates.
Outbound Service Campaigns:
Conduct proactive outbound outreach for overdue maintenance reminders, declined service follow-ups, special-order parts arrivals, and safety recall notifications.
Appointment Scheduling & Optimization:
Route and schedule service appointments using dealership software, carefully balancing shop capacity and technician availability to maximize daily shop efficiency.
CRM & DMS
Record Keeping:
Meticulously log all customer communications, vehicle symptoms, and appointment details into the dealership Customer Relationship Management (CRM) and Dealer Management System (DMS).
Liaison Communication:
Coordinate closely with Service Advisors and Service Managers to communicate customer needs, handle scheduling conflicts, and confirm appointment details.
Customer Care Excellence:
Provide a warm, professional, and empathetic experience for every customer, ensuring their automotive service concerns are documented accurately. Qualifications & Skills
- High school diploma or equivalent.
- Excellent verbal and written communication skills with a clear, professional, and reassuring phone manner.
- Strong multitasking capabilities—must be able to actively listen to customers while accurately typing notes and navigating complex scheduling grids across multiple screens.
- Comfortable managing a steady volume of inbound and outbound phone calls.
- Previous experience in a call center environment, or customer service is preferred (familiarity with automotive terminology is a major plus, but we will train the right candidate).
