Medical, Dental, AD&D, PSL Position Overview The Administrative & Maintenance Coordinator is responsible for supporting daily operational and administrative functions within the department. This role ensures smooth workflow coordination, accurate documentation, vendor communication, and effective use of internal systems such as OpenERP. The ideal candidate is organized, dependable, and comfortable handling both administrative tasks and operational support responsibilities. Key Responsibilities Maintain strong attendance, punctuality, and reliability in daily work schedule. Enter and manage work orders in OpenERP and maintain accurate filing of related paperwork. Process temperature recorders and coordinate ordering of office and breakroom supplies. Organize maintenance parts inventory and schedule vendor services as needed. Place orders for parts from external vendors such as Grainger and Zoro. Maintain and update vendor Certificates of Insurance (COIs) and Safety Data Sheets (SDS) documentation. Provide general administrative support and ensure timely communication of departmental messages. Demonstrate proficiency in Gmail and Microsoft Office applications, including Excel and Word. Additional Responsibilities (as experience develops) Process invoices for payment in a timely and accurate manner. Update tracking spreadsheets and assist in researching equipment and supply purchases. Support internal audits, including annual and quarterly compliance reviews. Coordinate annual maintenance and service schedules with management and external vendors. Required Skills & Qualifications Strong organizational and time-management skills. Basic to intermediate proficiency in Microsoft Office (Excel, Word) and Gmail. Ability to learn and use internal systems (OpenERP or similar platforms). Attention to detail and accuracy in documentation and data entry. Strong communication and coordination skills. Ability to manage multiple tasks and prioritize effectively.
