The Maintenance Billing Coordinator plays a critical role within our Part 145 maintenance operation by ensuring accurate billing, work order management, maintenance program tracking, and vendor coordination. This individual will serve as a key operational and administrative partner to the maintenance team, helping drive efficiency, accountability, and accuracy across aircraft maintenance events. This role requires someone who is analytical, detail-oriented, proactive, and comfortable working in a fast-paced aviation environment. The ideal candidate enjoys problem solving, connecting operational details, identifying discrepancies, and supporting maintenance operations from start to finish.Location:
Orlando, Florida Key Duties and Responsibilities:
Maintenance Billing & Invoice Management Prepare and finalize maintenance invoices for aircraft maintenance services, repairs, inspections, and overhaul events. Review technician labor hours, work orders, parts usage, consumables, and vendor charges to ensure billing accuracy. Audit third-party vendor invoices to verify correct labor rates, quoted pricing, parts charges, and approved scope of work. Ensure all maintenance billing documentation is complete, accurate, and compliant with FAA Part 145 requirements. Track maintenance-related costs and assist in monitoring maintenance profitability and cost recovery. Serve as the system administrator and gatekeeper for EBIS our work order management platform, controlling access permissions and configuration settings Generate and distribute regular billing cycle reports, open work order aging reports, and program utilization summaries to maintenance leadership and accounting. Work Order & Maintenance Coordination Maintain ownership of work order accuracy and ensure maintenance documentation is completed in a timely manner. Support day-to-day maintenance operations by monitoring maintenance events, tracking progress, and identifying delays or discrepancies. Assist internal teams by communicating maintenance status updates and helping resolve operational bottlenecks. Investigate maintenance delays and proactively identify root causes to support operational efficiency. Support maintenance approvals and administrative maintenance processes as needed. Maintenance Programs & Warranty Administration Maintain aircraft maintenance program and subscription databases, including updates related to fleet or contract changes. Assist with filing and tracking warranty claims and maintenance program reimbursements. Review maintenance program coverage and warranty applicability for repairs and components. Coordinate with vendors, OEMs, and maintenance program providers regarding claims, approvals, and coverage questions. Review all maintenance events against active maintenance program and warranty coverage prior to customer billing to ensure eligible costs are claimed through the appropriate program. Vendor & Internal Team Support Serve as a primary liaison between maintenance operations and external vendors/service providers. Support internal maintenance, accounting, and operational teams with invoice questions, work order status, and maintenance documentation. Assist with customer invoice inquiries when needed.Minimum Qualifications:
Previous experience in aviation maintenance administration, maintenance billing, MRO operations, or aircraft maintenance support. Knowledge of aircraft maintenance terminology, maintenance programs, and aviation billing practices. Familiarity withFAA 14 CFR
Part 145 and Part 43 regulations preferred. Experience reviewing maintenance work orders, vendor invoices, or repair documentation. Experience with maintenance program claims, warranty administration, or vendor reconciliation is highly preferred. Technical Skills Proficiency with Microsoft Office Suite, especially Excel. Experience with MRO, ERP, or aviation maintenance software systems preferred. Strong organizational and documentation management skills. Core Competencies Strong analytical and problem-solving abilities. Ability to identify discrepancies, connect operational details, and challenge abnormalities when needed. Comfortable asking questions and investigating root causes. Excellent attention to detail and accuracy. Strong communication and coordination skills. Ability to manage multiple priorities in a fast-paced maintenance environment. Self-motivated with a high level of ownership and accountability. Physical Requirements Ability to work in both office and aircraft hangar environments. Ability to sit, stand, walk, bend, and move throughout maintenance facilities for extended periods of time. Ability to occasionally lift and carry up to 25 pounds. Ability to use computers, phones, printers, and standard office equipment for extended periods. Ability to read and interpret maintenance documents, invoices, work orders, and technical information both electronically and in print. Ability to occasionally climb stairs, ladders, or aircraft steps when supporting maintenance operations. Ability to work in a fast-paced environment with frequent interruptions and changing priorities. Ability to tolerate varying noise levels, temperature changes, and outdoor weather conditions commonly associated with airport and hangar operations. Why Northern Jet?
