Position Summary We're seeking a detail-oriented Fleet Maintenance Administrative Assistant to manage compliance, documentation, and maintenance coordination for our fleet of 100+ vehicles. This critical role ensures smooth operations and regulatory adherence in our fast-paced environment, serving as the organizational hub for our maintenance operations.
Key Responsibilities Compliance & Documentation:
Maintain complete records for all fleet vehicles including: SC DMV registrations and titles DOT inspection certificates IFTA fuel tax reporting Insurance documentation Ensure timely renewals of all permits and licenses Maintenance Coordination Schedule and track all preventive maintenance and repairs Serve as primary liaison between vendors and operations teams Manage digital records using Tenna fleet software Process work orders and verify service completion Administrative Excellence Process invoices with 100% accuracy Maintain parts inventory and critical supplies Generate monthly fleet performance reports Qualifications & Requirements Education & Experience Associate's degree preferred (Business, Logistics or related field) 2+ years experience in transportation or construction administration Working knowledge of
DOT/FMCSA
regulations Technical Skills Advanced Microsoft Office proficiency (Excel, Word, Outlook) Experience with fleet management systems (Fleetio, WEX, TMW) Professional Qualities Exceptional organizational skills Meticulous attention to detail Strong written and verbal communication Ability to maintain confidentiality Collaborative team player Additional Information Drug-Free Workplace Background check and drug screening required Occasional overtime during peak seasons Why Join Us?
