Job Description

A Maintenance Administrator manages the administrative, scheduling, and documentation needs of a maintenance department. They play a crucial role in using Computerized Maintenance Management Systems (CMMS) to track work orders, inventory, and equipment records, ensuring smooth operations and compliance with safety protocols.
Key Responsibilities:
Documentation:
Maintain accurate records of work orders, maintenance logs, and schedules.
Workflow Coordination:
Manage service requests, assign tasks, and coordinate with technicians, vendors, and staff.
Inventory & Purchasing:
Manage maintenance supplies, parts inventory, and purchasing, while adhering to budget requirements.
Compliance & Safety:
Ensure compliance with safety regulations and maintenance protocols.
Reporting:
Generate reports on key performance indicators (KPIs) like equipment downtime and work order response times.
Required Education, Experience & Training :
Software Proficiency:
Experience with CMMS software (e.g., Maximo, SAP PM, Fiix) and MS Office Suite (especially Excel).
Organizational Skills:
Exceptional organizational and time-management skills to handle multiple projects.
Communication:
Strong interpersonal skills for interacting with staff and external vendors.
Experience:
Often requires 5+ years in administrative or maintenance support roles, or a degree in a relevant field.
