This position determines whether repair and maintenance work should be approved or denied based on equipment utilization, fleet assignment status, maintenance history, DOT compliance requirements, and the cause of damage or wear. The administrator ensures repairs are necessary, cost-effective, properly documented, and in compliance with company policies and regulatory requirements. Key Responsibilities
  • Review all incoming maintenance and repair requests for the trailer fleet.
  • Analyze equipment usage, service history, and operational needs to determine maintenance eligibility.
  • Verify whether the trailer is part of the company's active fleet pool or assigned equipment.
  • Assess repair requests to determine if issues are the result of:
  • Normal wear and tear
  • Preventive maintenance requirements
  • Operator negligence or misuse
  • Accident-related damage
  • Approve, deny, or escalate repair requests based on established company guidelines.
  • Review and maintain DOT inspection records and ensure compliance with applicable regulations.
  • Upload, maintain, and organize inspection reports, repair documentation, and compliance records within company cloud-based systems.
  • Coordinate with maintenance vendors, shop personnel, and operations staff to gather supporting information.
  • Maintain accurate records of approvals, denials, repair costs, maintenance history, and compliance documentation.
  • Identify recurring equipment issues and recommend corrective actions to reduce maintenance expenses and improve fleet reliability.
  • Ensure consistency and compliance with company maintenance policies, budgets, and regulatory requirements.
  • Provide reports on fleet maintenance spending, approval rates, equipment condition, and compliance status. Qualifications
  • DOT certification or the ability to obtain and maintain DOT certification.
  • Experience in fleet maintenance, transportation, logistics, or equipment management.
  • Working knowledge of trailer components, maintenance practices, and DOT inspection requirements.
  • Ability to interpret maintenance records, inspection reports, and repair estimates.
  • Experience with cloud-based maintenance, compliance, or fleet management software.
  • Strong analytical, organizational, and decision-making skills.
  • Proficiency with Microsoft Excel and electronic recordkeeping systems.
  • Effective communication and documentation skills. Performance Metrics

$24.52 - $29.53 per hour
