Job Description

Facilities Services is committed to the efficient stewardship of MSU's physical environment for the benefit of Higher Education in Montana. Under the guidance of the Director of Facilities and working with Facilities Services team and contracted services the Maintenance Manager I will be responsible and accountable for developing, coordinating, and implementing short and long-term goals for Work Control operations aimed at fulfilling MSU's Mission and priorities. Actions and decisions of the Maintenance Manager I directly affect the assignment and scheduling of service, trouble, and emergency calls, and the efficiency of Facilities Services Operations. Decisions affect the methods and procedures by which work control activities will be carried out and in determining the appropriate trade or maintenance personnel and priorities to assign to work requests. The position is responsible for tracking and managing work activities and ensuring the proper documentation and billing of all work completed. Competent, efficient, and professional service provided by this position is critical to the overall objectives of Facilities Services. This position makes significant decisions related to ensuring the safety and security of faculty, staff, students, facilities, and infrastructure and the use of human and financial resources. The Maintenance Manager I position requires knowledge of Facilities Services operations and policies, construction terminology, and university budgeting and accounting requirements, skill in the operation of the work order database, and in managing multiple projects. Additionally, it requires the ability to identify unsafe conditions, effectively prioritize and assign maintenance and construction tasks, and communicate clearly with a diverse range of staff and customers. Duties and Responsibilities The Maintenance Manager I is responsible for: Directly supervise 3 FTE Work Control Dispatcher positions Developing establishing, implementing, managing, and improving the Work Control operations and the CMMS (AiM) system. Directly managing departmental programs and functions including work requests, outage requests, access management (electronic and mechanical), website management, environmental and security alarm monitoring, reports, and inter/intra-department support such as timecard support Collecting and managing data to inform program and departmental improvements. Develop work order system queries and assist in report writing Staff hiring, development, and evaluation Ensure success and effectiveness of Service Excellence efforts Supporting other University activities as applicable or directed. Ensure work is appropriately prioritized, scheduled, assigned and inspected for completeness and quality. Required Qualifications - Experience, Education, Knowledge & Skills Bachelor's degree in relevant field, plus progressively responsible experience in construction/facilities management, or an equivalent combination of relevant education and experience. Record of progressively responsible operational management experience in a large, multi-building environment. Extensive Experience with Computerized Maintenance Management System (CMMS). Demonstrated success in resource (personnel and budget) supervision and management. Demonstrated successful program management skills. Experience in data analysis Demonstrated experience with quality customer service Preferred Qualifications - Experience, Education, Knowledge & Skills Work experience in a large University environment Work experience in a labor union work environment Experience in Program Management such as electronic key distribution, after hours callout process Extensive experience with AiM CMMS The Successful Candidate Will Consistently exercise initiative and good judgment while prioritizing workload to meet changing priorities and schedules. Establish effective working relations as a team member; work effectively with multiple departments across campus. Use AiMAssetworks, Microsoft Office and other relevant software. Communicate effectively both verbally and in writing with a variety of audiences. Provide strong leadership. Represent the department and MSU to others in a professional and courteous manner.
