Job Description

FACILITY MANAGER

Purpose:
The Facilities Manager - Special Projects is responsible for leading and managing non-maintenance facilities initiatives across the organization. This role focuses on special projects such as renovations, space planning, sustainability initiatives, and overseeing contracts with vendors and service providers. The position requires a results-driven leader with a strong ability to manage multiple priorities, ensure compliance with company standards, and deliver projects on time and within budget.
Exemption Status:
Exempt (supervisory duties with management responsibility).
Responsibilities:
Special Projects Management:
Lead the planning, execution, and delivery of facilities-related special projects. Develop project scopes, budgets, and schedules in collaboration with stakeholders. Monitor project progress, address challenges, and ensure quality outcomes.
Space Planning and Optimization:
Assess and plan workspace layouts to improve functionality and efficiency, as requested. Collaborate with departments to understand space requirements and implement solutions.
Sustainability and Compliance:
Implement environmentally sustainable practices and initiatives within facilities projects. Ensure all projects meet regulatory and company compliance standards.
Contract Management and Vendor Oversight:
Manage contracts with vendors and service providers related to facilities projects. Conduct vendor evaluations, negotiate terms, at the direction of the VP of HR, and ensure adherence to service agreements and compliance with safety requirements of the company. Monitor vendor performance and address issues as necessary.
Collaboration:
Serve as the primary liaison between internal teams such as maintenance and safety, external vendors, and stakeholders. Communicate project updates, timelines, and key decisions effectively.
Budget and Resource Management:
Track and manage project budgets, ensuring alignment with financial goals. Allocate resources effectively and identify cost-saving opportunities.
Continuous Improvement:
Identify opportunities to enhance processes and systems related to facilities management. Implement best practices and innovative solutions to improve project outcomes.
Qualifications:
Education:
Bachelor's degree in Facilities Management, Project Management, Business Administration, or a related field.
Experience:
Minimum of [X years] of experience in facilities management, with a focus on special projects.
Skills:
Strong project management skills with the ability to manage multiple projects simultaneously. Excellent communication and negotiation skills. Proficiency in facilities management software and tools. Knowledge of sustainability practices and regulatory compliance. Strong analytical and problem-solving abilities.
