  • Full-time Service Manager Job description Summary of Responsibilities The Service Manager is a key player in the overall success of the community.
They lead by example, provide guidance and training to the maintenance team, and provide exceptional customer service to our residents. They also have a hand in repairs, oversee the make ready process, manage vendors, diagnose problems, and provide solutions. As Service Manager, you will also make recommendations for capital improvements, manage the maintenance budget, be responsible for preventative maintenance, and adhere to all codes and safety standards. The Service Manager is responsible for the overall care of the building. Essential Duties and Responsibilities include the following.
  • Dedicate time to hiring, developing, and training the maintenance team.
  • Manage all aspects of the property's maintenance, including grounds, custodial, preventative, corrective, deferred and emergency maintenance.
  • Maintain electronic records of service requests, preventative maintenance, capital expenditures, make ready status, etc.
  • Coordinate and perform repairs of property grounds and apartments.
  • Manage budgets and make recommendations for annual maintenance budget and capital expenditure projects.
  • Manage the make-ready process with attention to detail and timeliness so apartments can be leased with units ready to show and new residents can move-in.
  • Showing care and concern for our residents through timely follow-up and meticulous completion of their apartment service tickets in a timely fashion.
  • Work with outside vendors as needed, solicit bids/proposals, and sign off on work.
  • Maintain current knowledge of applicable laws and regulations.
  • Preserve the value of the building by executing on preventative maintenance programs.
  • Sustaining peak efficiency operation levels for all property components
  • Preserve the aesthetics and safety of the building.
  • Adhere to applicable building, county, and safety codes/standards, while running an accident-free operation.
  • Ensure completion of annual building systems inspections required by jurisdiction.
  • Obtain cost-effective capital improvement and other special project solutions.
  • Manage vendor relationships and projects with budget parameters. Oversee work completed by vendors and staff to ensure it meets high-quality standards.
  • Conduct move-out inspections and oversee the make ready process to confirm that all vacant units are ready for show and resident move-in within 7 days.
Continually inspect buildings, grounds, and common areas to identify preventative maintenance needed, to ensure that the buildings and common areas are clean, grounds are being properly maintained, and to identify current and potential safety hazards. Maintain a clean, safe, and well-organized shop and equipment storage area in compliance with all OSHA regulations, i.e., maintain Hazard Communication Program, SDS, State and Federal posters, and posting OSHA summary forms.
  • Create monthly staffing schedules and ensure 24/7 emergency coverage.
  • Prioritize service requests and ensure they are completed within 24 hours.
  • Complete after-hours emergency service requests immediately.
  • Meet with Community Manager daily to report on status of all scheduled work, as well as any maintenance issues and recommended solutions.
  • Adhere to and monitor keys/locks in accordance with key control policies.
Follow all purchasing directives and procedures. Maintain operating manuals, warranty records, and other materials of general inventory and parts replacement and availability. Keep abreast of developments in the field, including new products and new and less expensive ways of making repairs Always maintain the highest standards of resident relations. Complete and return Monthly Preventative Maintenance Sheets. Monitor all O & M Programs (i.e., Asbestos, Lead-Based Paint and Mold & Fungi) in place on the community to ensure that all O & M Specialists, Consultants, Contractors and/or employees are notified of the presence of these substances when work to be performed may involve the disturbance of these substances. Ensure that all such work is performed following the established O & M program.
Qualifications / Skills
  • Must have one or more of the following:
Education, Certificates, Licenses and Registrations:
HVAC (CFC), DPEA and/or NAPE certification required. Minimum 3 years of supervisory experience in property management or similar field. Knowledge of risk management, OSHA, and
SDS. HVAC
Universal, EPA and/or NAPE certification required. Advanced level of skill in performing HVAC, mechanical, electrical, plumbing, and appliance repairs. Familiarity with drywall work, painting, caulking, and basic carpentry. Excellent communication skills, both written and verbal Intermediate proficiency with the Microsoft Office suite and comfort using various technology platforms, apps, and computer programs Experience in Yardi PMS required. Must be able to enter/close out tickets with notes, look up resident contact information, and maintain turnover scheduling within Yardi. Other Skills/Requirements Leading by example and being a role model for the standards and behaviors consistent with the core values and culture of the company. Dedicating time to hiring, developing, and providing on-the-job and classroom education opportunities to techs After-hours availability, including nights and weekends. Must have personal/reliable transportation to respond to on-call/after-hour emergencies. Capable of occasionally lifting, pushing, pulling, or transporting 60 pounds or more. Ability to move around property sites, which includes climbing stairs and ladders. A safety mindset and an eye for detail Excellent communication skills, both written and verbal.
