WI 54115 JOB SUMMARY
This position is responsible for providing administrative and facilities support to ensure the smooth operation of the facilities in accordance with the Company's policies, practices, and procedures.
JOB ROLE AND RESPONSIBILITIES
This job is performed in more than one of the Company's facilities. As such, an incumbent's responsibility focus may vary based on work location. 1. Assist in the planning and physical relocation of employees within the Company's facilities. 2. Assist department manager with facilities' management tasks and the coordination of regional facilities' management tasks. 3. Coordinate offices' supply ordering and distribution and assist department supervisor or manager with purchasing responsibilities. 4. Assist in the implementation and ongoing maintenance of safety policies. 5. Maintain, update, and repair office equipment, as well as maintain copier and fax machine usage and repair logs and weekly supply distribution and usage logs. May include equipment setup in meeting rooms. 6. Handle outgoing/incoming mail and maintain postage machine and scale. Verify invoices with packing slips for all purchases made. 7. Responsible for operation and maintenance of all copy machines in the copy center. Order supplies as needed to ensure appropriate amount is on hand. 8. Maintain vendor contacts for equipment and supplies. May escort vendors while on-site. 9. Act as a resource for other Facilities Support staff. 10. May sort/deliver incoming mail, log tracking numbers, and create outgoing shipping labels. Prepare and mail packages on behalf of the Company. 11. Collaborate, coordinate, and communicate across disciplines and departments. 12. Ensure compliance with HIPAA regulations and requirements. 13. JOB SCOPE
The incumbent applies advanced skills and experience while working under general supervision. Uses established guidelines and some experience to complete job responsibilities. Work is generally routine with limited room for independent judgment. The incumbent acts as a resource to less experienced Facilities Support staff.
COMPENSATION
The salary range for this position is $20-$21/hour. Specific offers take into account a candidate's education, experience and skills, as well as the candidate's work location and internal equity. This position is also eligible for health insurance, 401k and bonus opportunity.
Requirements:
JOB REQUIREMENTS
(Education, Experience, and Training):
- Minimum high school diploma or equivalent (i.e. GED)
- Minimum 3 years experience in the maintenance and facilities field or related area
- Required licensures, professional certifications, and/or Board certifications as applicable
- Communication (written, verbal and listening), interpersonal, administrative and organizational skills
- Ability to use software, hardware, and peripherals related to job responsibilities, including MS Office, copiers, faxes, and mailroom equipment as needed
- Ability to set priorities and manage time while paying attention to detail and providing flexibility
- Ability to manage several projects at one time
- Ability to make decisions using limited or incomplete data
- Ability to stand and/or walk around site for long periods of time
- Ability to lift up to 50 pounds without mechanical assistance such a dolly cart
