Job Description
ABOUT THE ROLE
We are seeking a highly skilled and motivated individual to join our team. The service writer's primary duty is to support the service writer manager and assist in the daily operation of the service department by maintaining records and documentation associated with servicing of equipment.RESPONSIBILITIES
Fast and flexible parts sourcing: Work closely and maintain a good relationship with all vendors. Monitor parts pricing and update when required. Source parts quickly and adapt when challenges arise. Ensure the correct parts are ordered for every service order to avoid mistakes that cost the shop time and money. Initiate and return unwanted parts. Ship and receive parts. Ensure continuous quality control on all parts bought and sold for a variety of gasoline, diesel and alternative fuel vehicles and construction/mechanical equipment. Bring discrepancies to the attention of management.Real-time inventory awareness:
Keep and maintain inventory control. Keep workstation and parts department organized.Customer Service and Vendor Communications:
We work in a very fast paced environment and deal with high customer/vendor volume; service writers need to stay organized so they can share the right updates with both technicians and customers. Keeping everyone looped in and connected keeps repairs running on time and helps ensure a good customer experience. As first point of customer contact, it is imperative that the service writer possess excellent communication skills when answering the phone or speaking to a customer in person. Communicate with customers in a professional manner on additional repairs needed and obtains approval as required. Assist customers with picking up, dropping off, loading, and unloading of equipment when needed. Work with delivery drivers and third-party vendors to assure timely pickup & delivery of parts and equipment. As required by management, perform customer follow-up calls to ensure delivery and service expectations are met. Coordinate with vendors and service providers for equipment procurement and maintenance needs. Develop repeat business by delivering high-quality service and repair work. In-shop Duties include but not limited to: Initiate work order by recording necessary information and identified repairs and maintenance; and develop a repair estimate for the customer based upon the technician's diagnosis. Manage the delivery expectations on the part of the customer and technicians alike. Consult with the service writer manager or lead mechanic on the scheduling of preventive maintenance work assignments. Ensure compliance with regulatory requirements and internal policies related. Generate and process work orders daily to ensure prompt billing is activated, including updating the system when a vehicle/equipment is worked on and noting the type of services and/or repairs performed. Initiate processing of invoices and purchase orders for supplies and equipment. Assists management in maintaining and developing all necessary records, appropriate documentation and reports as required.QUALIFICATIONS
Experience in service writing, parts management, or a similar role preferred Ability to identify major mechanical parts of vehicles and equipment Able to read and interpret automotive materials and computer printouts Strong analytical and problem-solving skills Ability to schedule preventive maintenance for vehicles and heavy equipment Able to process and review invoices for completed repair work and resolve related issues Proficient with computers, data entry, and spreadsheet applications; accurate typist Strong verbal and written communication skills — with customers, staff, and vendors Solid math skills, including maintaining accurate labor rates Able to follow oral and written directions and adhere to departmental policies and procedures Works well independently and as part of a team Quick learner who thrives under pressure with strong time management and attention to detail Knowledge of the mechanical or construction industry preferred Required Conditions of Employment High School Diploma or General Education Diploma (GED) Must be able to successfully pass a pre-employment drug screen. Must possess a valid Driver's License.Expected hours:
