Job Description
Department Secretary Position Purpose Under the direct supervision of department supervisors, to provide a wide variety of complex and confidential administrative and secretarial support, communicating information to school district employees, students, parents and others as required, and to assist in ensuring compliance of department/program activities with legal, administrative and District policy requirements.
Essential Functions :
Maintenance Job Duties:
Prepare monthly and weekly purchase orders and payment authorizations as required Reconcile invoices and receipts Prepare correspondence, records, and reports Maintain file on school assets, maintenance vehicles, and safety inspections Compile and reports time records, including leave requests and reports for payroll Handle calls, emails, and emergency repair requests Compile and file all reports, records, and other documents as required including preventative maintenance data and work orders Maintain files on employees in accordance with state, federal, and district requirements Order custodial supplies that are not included in custodial contract Maintain budget records Order office supplies Keep up with asbestos, IPM, and pesticide hours for continuing education Assist in purchasing parts, supplies, and equipmentTransportation Job Duties:
(General budget and filing responsibilities indicated above plus the following) Maintain records of monthly fleet mileage and vehicle files and maintenance Compile data for TEA route report and operations report Maintain staff files Complete annual driver's license reports Complete payroll requests, including timesheets, time-off, and payments for all drivers Schedule annual driver physicals Pull film and review as needed Physical and Mental Demands, Work Hazards Works in standard office and school building environments. Ability to work outdoors during outdoor student activities. See the Summary of Physical, Sensory and Environmental Requirements Needed to Perform Essential Job Duties for this position. Qualification Profile Hence providing the required skill and knowledge for successful performance would be qualifying. Typical qualifications would be equivalent to: Graduation from high school Successful experience with office management in related area preferred.FLSA Status:
