Job Title:
Maintenance Coordinator Job Description The Maintenance Coordinator provides technical and logistical leadership to ensure the maintenance team has the parts, tools, and information needed to keep the plant and garage operating reliably and efficiently. This role focuses on planning, preventive maintenance support, inventory coordination, and vendor management rather than hands-on repair work, while still valuing candidates who can assist on the floor when needed. Responsibilities Coordinate and oversee maintenance planning activities for both the plant and the garage to support safe and reliable operations. Order and manage maintenance parts, materials, and supplies so the maintenance team has everything needed to keep equipment running effectively. Conduct daily walkthroughs of the plant to identify equipment issues, potential failures, and parts that need to be ordered proactively. Provide technical leadership by anticipating when components are likely to fail and ensuring critical replacement parts are on hand before breakdowns occur. Collaborate closely with the maintenance team to gather input on required parts, tools, and supplies, and translate those needs into accurate work orders and purchase requests. Work hand in hand with the maintenance manager to align maintenance priorities, scheduling, and resource allocation. Coordinate with external vendors and suppliers to source parts, track orders, and resolve issues related to delivery, quality, or specifications. Support preventive maintenance activities by ensuring required parts and materials are available before scheduled work begins. Use maintenance systems and computer applications, such as SAP or similar platforms, to create, track, and close work orders and manage maintenance documentation. Help maintain accurate inventory of critical spares, ensuring stock levels are appropriate and updated in the system. Assist with troubleshooting equipment issues by providing technical insight and coordinating necessary resources, even if not regularly performing hands-on repairs. Prepare and process purchase orders and related documentation in a timely and accurate manner. Communicate clearly with maintenance, operations, and other stakeholders to keep everyone informed on parts status, maintenance plans, and potential equipment risks. Essential Skills At least 10 years of maintenance experience in an industrial, manufacturing, or similar environment. Strong preventive maintenance knowledge and the ability to support planning and scheduling activities. Proficiency with maintenance planning tools and work order systems, including experience with SAP or comparable software. Solid mechanical aptitude with a practical understanding of industrial equipment and components. Experience with maintenance administration, including documentation, work orders, and inventory records. Ability to identify and manage critical spares, including understanding which components are essential to avoid downtime. Strong troubleshooting skills in mechanical and electrical systems to support effective decision-making and planning. Competence with purchase order processes, including creating and tracking orders for parts and materials. Effective communication skills to collaborate with maintenance teams, managers, and vendors. Computer skills, including experience with systems such as KIWI, Oracle, or similar maintenance or ERP platforms. Additional Skills & Qualifications Prior experience in a dedicated maintenance coordinator or maintenance planner role. Experience working within a cardboard manufacturing facility or similar production environment. Ability and willingness to assist with hands-on maintenance tasks when needed, even though this is not a primary requirement. Familiarity with inventory management practices and systems for tracking spare parts. Strong organizational skills with the ability to manage multiple priorities and deadlines. Comfort working with various software tools to support maintenance planning, reporting, and communication. Why Work Here? Work Environment This role operates on a first-shift schedule, typically from 6:00 a.m. to 2:30 p.m., Monday through Friday, with some flexibility in hours when needed. The position is based in a clean, climate-controlled cardboard manufacturing facility that includes both plant and garage areas. Team members wear jeans and steel-toe footwear as standard attire to support safety and practicality in the production environment. The work involves regular interaction with maintenance personnel, leadership, and vendors in a structured yet collaborative setting that supports both operational efficiency and employee comfort.
