Job Summary We are seeking an experienced Jewelry Repair Coordinator to oversee our jewelry repair operations, client repair experience, and bench coordination. This role is critical to maintaining the quality, precision, and service standards our clients expect. The ideal candidate is highly organized, detail-oriented, and experienced in jewelry repair intake, workflow management, and customer communication. This position serves as the central coordinator between clients, sales associates, and bench jewelers to ensure repairs are completed accurately, securely, and on schedule. Key Responsibilities Repair Intake & Documentation Conduct detailed intake inspections of all jewelry repair items Inspect and document item condition upon arrival Count and document all stones and components Photograph items at intake for documentation purposes Clearly record visible wear, damage, or prior issues Obtain customer signatures on intake documentation Enter repair details accurately into POS system Ensure all repair tickets are complete before work begins Client Communication & Service Communicate repair timelines and pricing clearly to clients Obtain customer approval for all estimates prior to beginning work Provide status updates throughout the repair process as needed Review completed repairs for accuracy and quality Contact clients promptly when repairs are completed Workflow & Bench Coordination Track repair due dates and daily repair status Coordinate timelines with jewelers and sales associates Monitor aging repairs and ensure timely completion Confirm all required stones, parts, or materials are ordered Ensure all repair documentation is complete before bench work begins Risk & Liability Management Ensure all intake documentation is properly completed and signed Confirm stone counts and condition documentation for every repair Escalate any pre-existing damage discovered during intake Immediately notify management of damage discovered during repair work Verify repair quality before customer pickup Maintain secure and organized storage of all customer items Administrative & Operational Tracking Monitor repair turnaround times and workflow efficiency Report weekly repair volume and operational metrics Track warranty vs. paid repairs Identify recurring repair issues or quality concerns Assist in analyzing repair department performance and profitability Bench Supervision & Scheduling Develop and manage weekly bench schedules Assign repair work based on complexity and priority Balance production capacity with repair intake volume Monitor bench productivity and turnaround times Conduct repair status meetings with bench staff Evaluate jeweler performance and efficiency Escalate capacity or workflow issues to management Engraving Services Perform in-house engraving services Verify layouts, fonts, and spelling accuracy prior to engraving Obtain customer approval before engraving begins Maintain engraving equipment and supplies Track engraving service performance and demand 3D Printing & Custom Wax Production Operate 3D printer for custom wax mold production Prepare and validate CAD files for printing Manage resin handling and curing processes Maintain printer calibration and maintenance logs Ensure print accuracy before presenting to customers Coordinate with CAD designers and external vendors as needed Maintain proper safety and ventilation standards for resin use Qualifications Experience working in a fine jewelry repair environment Strong knowledge of jewelry repair processes and terminology Experience managing repair workflows or bench operations preferred Strong organizational and documentation skills High attention to detail and quality control Experience with POS or repair tracking systems (The Edge preferred) Ability to coordinate multiple repairs and deadlines simultaneously Professional communication skills for client interactions Preferred Experience Jewelry repair intake and service management Bench jeweler coordination or production management Engraving experience Experience with CAD, 3D printing, or wax mold production Luxury retail or fine jewelry environment
