In this role, you will be responsible for managing and maintaining accurate mail and data records in order to clean, process and format mail data. Your expertise in databases (BCC, CASS and NCOA), ERP systems, and office software will be essential in optimizing data collection, filing, and order entry processes. This position offers an exciting opportunity to contribute to efficient mail operations while utilizing your strong organizational skills and technical proficiency. Duties 1. Data Processing and Management
- Process mailing lists for alignment with production schedule
- Cleanse, verify and format data for print jobs, making sure to be in compliance with USPS regulations
- Update addresses using CASS and NCOA to make sure mail is deliverable and up to date
- Check for duplicates and remove invalid or outdated addresses 2. Communication - Internal and with Client
- Confirm specifications and clarify any special instructions with sales
- Answer EDDM counts, postage range, size requirements, etc.
- Write up TDM, as needed
- Create change order invoices for clients' postage payments 3. Mailing List Management
- Organize and prepare mailing lists by customer segmentation (region, purchase, demographic data, etc.)
- Format according to postal standards for bulk mailing 4. Print Job Set-Up
- Ensure mailing data is correctly integrated into print jobs.
- Verify layout, designs and content are applied for each piece
- Confirm accurate placement of addresses
- Generate barcodes for mail where needed 5. Quality Control and Compliance
- Audit mailing data for accuracy and that it is up to postal service standards
- Ensure print jobs align with data specifications, making sure the correct variable data is applied
- Check that all mailings are compliant with postal regulations, including address verification, barcoding and mail sorting 6. Postal Management
- Maintain, update and install postal software
- Keep up to date with USPS changes and rate adjustments 7. All other duties as assigned Requirements Proven experience with databases, ERP systems, and office software such as Microsoft Excel
- 1-3 years' experience in mail processing/pre-sorting and data entry Experience in BCC, CASS and NCOA preferred Strong data entry skills with a high level of accuracy and attention to detail
