Job Summary/Basic Function:
The Program Coordinator provides high-level operational and programmatic support to the School of Nursing Chair and undergraduate and graduate nursing programs. This position supports program infrastructure, daily operations, and faculty and student processes, and ensures quality assurance in accordance with Ohio Board of Nursing (OAC 4723) regulations and Commission on Collegiate Nursing Education (CCNE) accreditation standards. The Program Coordinator serves as a central resource for the School of Nursing, supporting program oversight, faculty processes, and strategic initiatives in a dynamic academic environment. This role focuses on program-level operations, regulatory alignment, and scalability of processes across programs. Minimum Qualifications
Bachelor's degree and two (2) years of experience or an associate's degree and four (4) years of experience in a related field by start date in a college/university, healthcare, or program coordination role.
Strong organizational, communication, and problem-solving skills
Ability to work independently and collaboratively with cross-functional teams in a fast-paced academic environment.
Proficiency in Microsoft Office and database systems Preferred Qualifications
Experience in higher education or nursing program administration
Familiarity with the Ohio Board of Nursing and CCNE standards
Experience with quality assurance tracking systems and faculty onboarding Essential Functions and percent of time: Program Operations and Leadership Support (40%)
Provide high-level operational, strategic, and administrative support to the Chair, including prioritization of initiatives and coordination of strategic activities
Serve as a primary point of contact for the School of Nursing for faculty, students, leadership, and external partners
Anticipate and respond to operational and programmatic needs of the department with a high level of independence
Support coordination and implementation of strategic initiatives tied to program growth, accreditation, and workforce development, as identified by the Chair and Dean
Take and distribute minutes for department meetings and curriculum committee meetings
Draft and prepare reports, summaries, and briefing materials to support leadership decision-making, accreditation activities, and program evaluation
Coordinate leadership meetings and support preparation of agendas, materials, and follow-up actions aligned with Chair priorities
Coordinate and oversee student workers, including training, task delegation, and workflow management
Standardize procedures to ensure consistency across undergraduate and graduate nursing programs
Support implementation of programmatic and operational improvements aligned with the School of Nursing's strategic goals
Identify process and workflow gaps and recommend operational improvements to support the expansion of graduate and doctoral programs Student and Academic Program Support (20%)
Provide oversight and coordination of student-related administrative processes, such as priority registration for designated student populations, including student-athletes and military-affiliated students; ensure collaboration with other staff in the department
Collaborate with the Registrar's Office and academic advising to support program-level enrollment management and scheduling
Maintain and manage student files in accordance with institutional, OBN, and CCNE requirements
Maintain and organize general program and departmental records, ensuring consistency, accessibility, and alignment with institutional record-keeping practices
Monitor key student progression indicators such as program-level trends, registration issues, quality gaps, and progression barriers, and communicate concerns to program leadership
Support with tracking student quality assurance-related documentation and program requirements
Support operational infrastructure for graduate and doctoral programs, including coordination of processes related to clinical requirements, scholarly projects, and program-specific quality assurance expectations. Essential Functions and percent of time (cont'd): Faculty Support and Onboarding (15%)
Oversee full faculty onboarding process, including orientation, quality assurance tracking, and integration into School of Nursing processes
Maintain faculty records, including tracking licensure, certifications, and ongoing quality assurance requirements
Ensure faculty documentation is current and aligned with regulatory and accreditation standards
Support faculty understanding of School of Nursing and university policies and procedures
Develop and standardize onboarding and quality assurance processes to ensure consistency across undergraduate and graduate programs
Support select HR-related transactions and processes (e.g., onboarding documentation, coordination of employment actions, and system submissions) in collaboration with relevant stakeholders Quality Assurance and Accreditation Support (10%)
Assist with the coordination of accreditation readiness activities, including tracking timelines, documentation, and reporting requirements
Maintain organized and secure records for students and faculty to support OBN and CCNE quality assurance
Contribute to the infrastructure for accreditation documents
Support development and maintenance of standardized processes for documentation and quality assurance tracking across undergraduate and graduate programs
Assist in the preparation and organization of materials for accreditation reports, audits, and site visits Operations, Facilities, and External Coordination (10%)
Coordinate and participate in planning related to physical space utilization aligned with enrollment growth and program needs; Work with facilities to address space, maintenance, and operational needs
Collaborate with internal and external stakeholders to support program visibility, engagement, and external partnerships
Support the coordination of program-related recruitment and outreach activities/events
Assist with high-level coordination and monitoring of grant and contract-related activities, including documentation, tracking, and compliance with institutional requirements
Support budget-related processes by assisting with tracking, reporting, and coordination of financial activities at a program level Other Duties as Assigned (5%)
