We are seeking a detail-oriented and motivated Administrative Support Specialist to support our Housing Choice Voucher (HCV) Program. In this role, you will play a key part in ensuring the accuracy and efficiency of rent determinations and program records, while delivering excellent service to residents and stakeholders. This position performs intermediate administrative support work under the limited supervision of the Deputy Director of the HCV Program. Key Responsibilities Enter data into agency software to ensure timely and accurate rent calculations and payments Review and analyze files for required documentation, accuracy, and compliance with HUD regulations Conduct quality assurance reviews, including data validation and corrections for reporting purposes Maintain organized and accurate records systems Perform routine investigations and recommend corrective actions when discrepancies arise Assist in developing forms, manuals, and process improvements to enhance consistency and accuracy Compile reports, analyses, and special project materials as needed Provide customer service via phone, email, and in-person interactions Support departmental operations and complete additional duties as assigned Required Education Bachelor's degree in public administration, business administration, sociology, psychology, or a related field A combination of relevant education and experience may be considered in lieu of the degree Preferred Education Additional training or certifications related to housing programs, data analysis, or public administration Preferred Experience Experience working in a clerical, administrative, or data processing role Experience reviewing files, analyzing data, and preparing reports Familiarity with Housing Choice Voucher (HCV) Program operations and HUD regulations Core Skills & Abilities Working knowledge of HCV Program requirements, HUD regulations, and administrative practices Strong attention to detail with the ability to review and verify data accurately Proficiency in Microsoft Office and other computer systems/software Ability to manage records and generate accurate reports Strong organizational skills and the ability to work independently Effective written and verbal communication skills Customer-focused mindset with strong interpersonal skills Ability to prioritize tasks and manage multiple responsibilities under pressure Problem-solving skills with sound judgment and decision-making ability Commitment to accountability, teamwork, and continuous improvement
