Position Summary The Marketing & Communications Manager plays a critical role in strengthening and scaling HCA's communications function during a period of organizational growth and increasing complexity. This position exists to transform strategic direction into sustainable systems, coordinated execution, and measurable outcomes across marketing, communications, digital platforms, campaigns, partnerships, and emerging initiatives. As the operational leader of the department, the Manager is responsible for ensuring communications infrastructure evolves alongside HCA's expanding programs, products, and opportunities. The role requires an experienced marketer who is comfortable exercising independent judgment, leading implementation with minimal oversight, and proactively building systems that support growth. Success in this role means increasing departmental capacity, improving performance outcomes, strengthening communications infrastructure, and creating the operational continuity necessary for leadership to focus on high-level strategy, external positioning, and long-term organizational growth. The ideal candidate is proactive, highly adaptable, comfortable with ambiguity, and motivated by building systems that strengthen both departmental performance and organizational impact. Reporting Structure Reports directly to the Director of Marketing & Communications Supervises communications interns, volunteers, contractors, and consultants as assigned Works in close partnership with the Director of Communications & Marketing to execute organizational marketing, communications, branding, storytelling, and public engagement strategies Collaborates regularly with program, development, housing, research, and executive teams to ensure accurate, timely, and mission-aligned communications that elevate HCA's impact, services, partnerships, and advocacy efforts Core Responsibilities Communications Operations & Department Leadership Lead day-to-day operations of HCA's communications and marketing function across multiple programs, initiatives, campaigns, and priorities Independently manage workflows and implementation systems while aligning execution with organizational strategy Identify bottlenecks, inefficiencies, and opportunities for improvement; recommend and implement solutions Build and strengthen communications systems supporting organizational growth and scalability Serve as operational leader of the communications department, ensuring continuity across projects and initiatives Reduce dependence on Director involvement in day-to-day communications execution through proactive management and independent ownership Campaign Management & Strategic Implementation Lead implementation of multi-channel campaigns supporting organizational priorities, program launches, initiatives, and growth opportunities Translate strategic direction into actionable campaign plans, timelines, deliverables, and execution pathways Manage communications implementation supporting programs including housing initiatives, financial education, digital products, partnerships, and future organizational growth areas Coordinate launches and ongoing communications for evolving programs and initiatives Recommend campaign opportunities and communications approaches aligned with organizational goals Product Marketing & Digital Ecosystem Oversight Support implementation and growth of digital education products, curriculum platforms, portals, and related communications ecosystems Manage communications workflows supporting online learning tools, adoption, onboarding, engagement, and retention strategies Oversee vendor relationships connected to curriculum platforms, websites, and digital products Coordinate implementation of digital communications systems supporting future organizational growth opportunities Team Leadership & Supervision Supervise communications implementation staff including coordinators, VAs, and support roles Provide feedback, quality control, coaching, and workflow management to strengthen independence and performance Delegate effectively and ensure work moves efficiently across team members Foster a proactive, ownership-oriented culture focused on solutions and continuous improvement Newsletter, Email Marketing & Communications Systems Independently oversee development, approval, scheduling, optimization, and distribution of organizational newsletters and targeted email campaigns Manage newsletter workflows, segmentation strategies, performance analysis, and process improvements Develop systems supporting efficient execution and long-term scalability Maintain high standards of messaging quality and implementation consistency Website Oversight & Digital Experience Management Oversee website architecture, organization, workflows, and ongoing optimization across organizational initiatives Manage vendors, timelines, and implementation supporting digital platforms Ensure website content systems remain functional, organized, and scalable Identify opportunities to improve user experience, information architecture, and communications effectiveness Coordinate website updates through implementation staff while maintaining oversight of broader strategy and structure Social Media, Content & Brand Implementation Oversee implementation of content strategies across social platforms Serve as final approver for most social content and related workflows prior to Director review when needed Ensure content execution aligns with organizational goals and established brand standards Monitor performance and recommend adjustments supporting improved outcomes Brand Standards, Quality Control & Communications Governance Operationalize HCA's established brand standards across communications outputs Serve as final reviewer for most collateral, newsletters, website content, campaign materials, event communications, and social assets Ensure consistency across messaging execution, visual identity, and communications quality Maintain templates, workflows, and systems supporting efficient implementation Relationship Marketing, Brand Partnerships & Ambassador Programs Develop and oversee systems supporting relationship-based marketing initiatives, including brand ambassadors, community partnerships, collaborations, influencer engagement, and stewardship opportunities Coordinate tracking systems supporting ambassador cultivation, gifting, engagement history, and relationship management Strengthen organizational visibility through intentional relationship-building initiatives Recommend partnership and collaboration opportunities aligned with organizational goals Line of Business (LOB) Marketing Systems & Toolkit Development Develop and maintain scalable marketing toolkits supporting existing and future organizational initiatives Build proactive communications systems ensuring new programs, partnerships, and lines of business launch with foundational marketing infrastructure in place Create repeatable workflows supporting consistency across organizational growth efforts Continuously improve systems supporting implementation across multiple initiatives Vendor & External Partner Management Manage day-to-day coordination with photographers, videographers, PR firms, consultants, designers, contractors, and communications vendors Oversee timelines, deliverables, revisions, approvals, and implementation Escalate strategic decisions appropriately while independently managing execution processes Ensure external outputs meet organizational expectations and timelines Event Communications & Initiative Support Lead communications implementation supporting launches, office blessings, workshops, campaigns, events, and organizational initiatives Coordinate timelines, collateral, outreach, messaging execution, and communications workflows Ensure communications components of initiatives are implemented effectively and proactively Analytics, KPIs & Continuous Improvement Own performance outcomes related to communications and marketing KPIs Monitor, interpret, and improve metrics across campaigns, newsletters, websites, social media, and communications initiatives Recommend adjustments supporting increased effectiveness and organizational reach Develop reporting systems supporting informed decision-making Maintain accountability for improving communications performance over time Skills & Competencies Success in this role 5-8+ years of progressively responsible experience in marketing, communications, agency work, campaign management, digital marketing, brand management, growth marketing, product marketing, or related fields Significant experience independently managing communications functions with minimal oversight strongly preferred Experience supervising staff, contractors, consultants, or collaborative workflows preferred Demonstrated ability to improve systems, build processes, and strengthen operations Experience managing websites, newsletters, campaigns, digital platforms, and communications ecosystems Strong understanding of product marketing, launches, user journeys, onboarding, and adoption strategies preferred Experience managing vendors and external partners Strong project management and prioritization skills Excellent writing, editing, and communications judgment Experience using analytics and KPIs to improve performance Familiarity with website platforms, email marketing systems, CRM tools, social scheduling tools, and project management systems Agency, startup, growth-stage, or similarly fast-paced experience highly valued Commitment to HCA's mission and willingness
