  • Full-time Under the direct supervision of the Executive Director, the Director of Programming & Communications oversees, plans, executes, and evaluates all programming, events, and marketing communications for the Activity and Recreation Center (ARC).
This role is responsible for creating a diverse lineup of activities to attract the 55+ population while strategically managing the ARC's website, email marketing, social media, and traditional promotional channels to maximize membership and participation. As a core member of the ARC leadership team, this position requires a deep understanding of the needs of older adults, absolute budget accountability, and the ability to drive both member engagement and fundraising initiatives.
Qualifications Education:
Bachelor's degree in communications, Marketing, Human Services (preferred), or equivalent professional training and experience.
Experience:
Proven track record in program planning, marketing, social media management, communications, fundraising, and/or public relations—ideally working with senior clientele.
Skills & Core Competencies:
Excellent organizational, leadership, conflict resolution, and independent workflow skills. Strong verbal/written communication, copywriting, proofreading, and customer service skills with a high level of respect for clients. Demonstrated creativity in developing visual and written promotional materials. Ability to collaborate effectively within a team environment.
Technical Proficiency:
High proficiency in Microsoft Office (Word, Excel, PowerPoint) and mainstream social media platforms. Ability to learn and master facility management software (e.g., GymMaster) and email marketing platforms (e.g., Constant Contact).
Certifications:
Maintain or obtain CPR and AED certifications. Specific Duties Program Development & Operations 1.
Curate & Schedule Programs:
Receive, review, and evaluate all programming proposals. Schedule paid and volunteer instructors, monitor daily attendance, and assess quarterly program success based on member engagement. 2.
Logistics & Set-Up:
Take the lead in implementing all programs, including room layouts and equipment configurations; coordinate closely with custodial staff to communicate facility setup needs. 3.
Data Management:
Load all monthly program, class, and registration details into GymMaster. Create weekly room templates identifying activities across all locations within the center. 4.
Travel & Events:
Collaborate with external travel vendors (e.g., Peoria Charter, Collette Vacations) to schedule yearly extended travel options. Plan and execute the annual volunteer appreciation event. 5.
Inventory:
Order, secure, and maintain inventory for all supplies and materials required for new and ongoing programs. Communications, Marketing & Public Relations 6.
Strategy Implementation:
Develop and manage an integrated marketing, public relations, and online media strategy paired with traditional methods to meet annual goals. 7.
Content Creation:
Write and design promotional collateral, including website content, social media updates, advertising copy, flyers, and internal/external building displays. 8.
Newsletter & Email Marketing:
Compile, design, edit, and distribute the monthly member newsletter and oversee all targeted email marketing campaigns via Constant Contact. 9.
Media Relations:
Maintain active contact with local media by distribution of press releases, pitching local interest stories, and staying current on regional health and wellness trends. 10.
Inquiry Management:
Promptly monitor and respond to public and member inquiries coming through the website, social media channels, and GymMaster. Financial, Fundraising & External Relations 11.
Budget Management:
Assist in the development, execution, and oversight of the annual programming (revenue/expense) and outreach/communications budgets. 12.
Grant Writing:
Author and submit grant applications with support from the ARC management team, Township Supervisor, and community programming partners. 13.
Community Networking:
Liaison and network with local agencies providing resources and support for senior services to elevate community outreach. 14.
Facility Rentals:
Collaborate with the Normal Township Supervisor to evaluate, schedule, and implement center rental requests. Leadership, Administration & Facility Coverage 16.
Reporting:
Extract GymMaster data to compile monthly program, trend, and communication reports for the ARC Advisory Committee, Normal Township, and Board of Trustees. 17.
Meeting Attendance:
Attend monthly Normal Township and ARC Advisory Board meetings to present updates on communications, and programming metrics. 18.
Member Relations:
Provide center tours to prospective members/community groups and actively de-escalate or resolve conflicts between members. 19.
Program Support:
Assist the SHIP (Senior Health Insurance Program) Coordinator and volunteers with communication strategies and technology needs. 20.
Technical Troubleshooting:
Provide frontline technical troubleshooting for GymMaster software, computers, printers, and phones, including resolving data/email delivery issues. 21.
Incident Management:
Respond to building incidents and draft formal reports for submission to the Township Supervisor. 22.
Leadership Coverage:
Keyholder position with added duties and responsibilities as required. 23.
Weekend Management:
Provide rotating weekend manager coverage (open to close) with fellow leadership team members. 24.
Other Duties:
Perform other duties as assigned. This organization reserves the right to revise specific duties as the need arises.
