Job Description
Overview CSS Group, Inc. produces established lecture series programs in five U.S. cities (including the Baltimore Speakers Series in Baltimore), delivering over 40 events annually. We are seeking an Events and Communications Coordinator to support the delivery of high-quality live events through clear, polished communications, thoughtful research, and strong logistical coordination. This is a highly visible, detail-oriented role with regular interaction across subscribers, speakers, sponsors, venues, and partners. Ideal candidates will have a strong interest in national and geopolitical current affairs and related topics, including history, government, business, science, and culture. While this is generally a fully remote position, candidates must be based in the Baltimore-DC metro area to provide in-person support of our 7 events per season in Baltimore, plus be willing to travel to support our events elsewhere in the northeastern US. This position offers the opportunity to play a meaningful role in a well-established, intellectually engaging lecture series business while working as part of a small, collaborative team. The role emphasizes communications, logistics, research, and analytical coordination rather than core event operations, with opportunities to take on increased responsibility. Key Responsibilities Subscriber Communications & Experience
Serve as a primary point of contact for subscriber inquiries, delivering timely, thoughtful, and solutions-oriented responses
Draft and manage pre-event communications, including event details, background information, logistics, and reminders
Develop and distribute post-event and ad hoc surveys; track feedback and support follow-up actions
Ensure all communications are accurate, polished, and consistently aligned with brand voice
Contribute to a high-quality, consistent subscriber experience across all touchpoints Sponsor, Partner & Event Coordination
Coordinate communications and logistics for sponsor dinners, receptions, and related events
Serve as a central point of coordination across sponsors, media partners, venues, and box office teams
Communicate proactively with external stakeholders to ensure smooth execution
Track invitations, attendance, and follow-ups for sponsor-related activities
Research prospective sponsors and support outreach and relationship development efforts Program, Speaker & Operational Support
Coordinate logistics for live speaker events across multiple cities, attending events in assigned cities and providing additional support across the series as needed
Work closely with venue and ticketing partners on seating, ticketing, and attendee-related issues
Research speakers' backgrounds and areas of expertise
Prepare speaker briefing materials, including background research and suggested questions
Draft polished speaker introductions for on-stage emcees
Provide on-site event support, including professional interaction with speakers as needed
Maintain accurate records across customer support and project management systems
Track timelines, deliverables, and priorities across events, proactively identifying risks or gaps
Support internal reporting, planning, and general operational needs Qualifications Required
Bachelor's degree or equivalent professional experience
3-5+ years of relevant professional experience in a coordination, communications, events, or similar role
Exceptional written and verbal communication skills, with the ability to produce clear, polished materials for external audiences
Strong organizational skills and attention to detail, with the ability to manage multiple priorities and deadlines simultaneously
Demonstrated ability to operate independently, exercise sound judgment, and proactively identify and address issues
Strong research skills and the ability to synthesize information clearly and concisely
Professional, confident communicator comfortable working with a range of stakeholders, including senior external partners
Proficiency in Microsoft Office and Google Workspace, particularly spreadsheets, forms, and basic data analysis Preferred
Experience supporting live events, speaker programs, conferences, or managing multiple events across a season or series
Experience with customer support and project management tools (e.g., Zendesk, Monday.com, Salesforce, or similar platforms)
Comfort using AI tools to improve efficiency in research, drafting, and administrative workflows
Experience working in a remote or distributed team environment What Success Looks Like

Speaker materials are thoughtful, accurate, and well-prepared, enabling smooth and engaging on-stage conversations
Tasks, timelines, and follow-ups are reliably tracked and executed across multiple events and cities
The Coordinator operates with increasing independence, sound judgment, and attention to detail, becoming a trusted member of a small, collaborative team Personal Attributes
