Overview We are seeking a highly organized, detail-oriented, and proactive E-Commerce Administrator to support the growth and execution of our online plant business. This role serves as a key link between our on-site fulfilment operations, off-site production team, and virtual e-commerce team. The E-Commerce Administrator will be responsible for creating, optimizing, and maintaining product listings, ensuring inventory accuracy, supporting brand development initiatives, and assisting in the execution of our overall e-commerce strategy. The ideal candidate combines strong administrative and organizational skills with an interest in digital commerce, product merchandising, inventory management, and brand growth. This position is approximately 70% office/computer-based and 30% greenhouse-based, requiring occasional hands-on interaction with products and inventory. Key ResponsibilitiesE-Commerce Administration & Marketplace Management Create, optimize, and maintain product listings across Shopify, Amazon, Etsy, eBay, Walmart Marketplace, and other sales channels. Ensure product titles, descriptions, images, attributes, pricing, and inventory quantities are accurate and consistent across all platforms. Collaborate with the virtual e-commerce team to execute listing improvements, merchandising initiatives, and marketplace growth strategies. Monitor listing performance and identify opportunities to improve visibility, conversion rates, and customer experience. Coordinate product launches, seasonal releases, and promotional campaigns across digital channels. Ensure all online product information accurately reflects current inventory and product availability. Digital Strategy & Brand Development Assist leadership and the virtual e-commerce team in developing and executing digital growth strategies. Support SEO best practices for product pages, collections, categories, and content. Help strengthen brand consistency across websites, marketplaces, and customer-facing digital assets. Coordinate the implementation of new digital initiatives, promotions, and merchandising campaigns. Monitor marketplace and website performance metrics and provide recommendations for improvement. Assist with product photography, content creation, and digital asset management when needed. Inventory & Administrative Management Conduct routine inventory audits and maintain inventory accuracy across all sales channels. Verify incoming plant shipments against packing slips and receiving documentation. Investigate and resolve inventory discrepancies between physical inventory and system records. Maintain inventory-related records including shrinkage, damages, and adjustments. Monitor inventory levels of fulfillment supplies, packaging materials, labels, and operational consumables. Communicate purchasing needs and supply shortages to the purchasing department for replenishment. Generate reports and assist management with inventory planning and operational analysis. Fulfillment & Logistics Coordination Print shipping labels and shipping documentation as required. Coordinate daily communication between the on-site fulfillment team and virtual e-commerce team regarding inventory availability, order status, and shipping priorities. Assist in resolving order, inventory, and shipping-related issues. Ensure inventory updates and product availability are communicated promptly across departments. Support fulfillment operations during peak periods when necessary. Product & Greenhouse Coordination Verify plant quality, sizing, and presentation prior to listing, photography, or shipment. Assist with staging and organizing plants for product photography and inventory management. Monitor incoming plant material and verify quantities and varieties against receiving documentation. Communicate product shortages, availability changes, and quality concerns to sales and e-commerce teams. Maintain familiarity with plant inventory and product offerings to support listing accuracy. Cross-Department Collaboration Serve as the communication bridge between: Greenhouse Operations On-Site Fulfillment Team Virtual E-Commerce Team Production Team Coordinate inventory availability, substitutions, product launches, special orders, and promotional activities. Support both retail and wholesale sales initiatives through accurate inventory management and product merchandising. Qualifications 2+ years of experience in e-commerce administration, marketplace management, inventory control, digital merchandising, or related roles would be an asset Experience with Shopify and online marketplaces such as Amazon, Etsy, eBay, and Walmart Marketplace. Strong organizational, administrative, and project coordination skills. Understanding of product listing optimization, SEO fundamentals, and e-commerce best practices. Experience managing inventory and maintaining accurate product data. Strong attention to detail and ability to manage multiple priorities simultaneously. Comfortable working in both office and greenhouse environments. Basic photography and content creation skills are a plus. Horticulture, greenhouse, nursery, or plant industry experience is preferred but not required.
