JOB DESCRIPTION
This role sits at the core of Housevio's mission. The Database Manager is responsible for turning our contact database into a living, intelligent engine that drives qualified leads to our agents at exactly the right moment. Working at the intersection of data operations, CRM management, and marketing execution, this person ensures every contact has a defined path, every campaign has measurable output, and every agent has clean, actionable intelligence to work from. This is a hands-on, strategic role for someone who is equally comfortable in a spreadsheet and crafting a nurture sequence — someone who thinks in systems, communicates with clarity, and understands that clean data is the foundation of every closed deal.
KEY RESPONSIBILITIES
Database Management & Operations (35%) Own, maintain, and continuously improve the Housevio CRM (Follow Up Boss) — including contact records, list segmentation, tags, workflows, and automation. Build and manage lead pipelines that ensure every contact has a clear next step and is never left in a "no man's land" bucket. Audit data quality on an ongoing basis — identify duplicates, missing information, incorrect statuses, and implement cleanup protocols. Develop and document standardized data entry procedures, naming conventions, and workflow logic for the entire team. Implement re-engagement campaigns targeting cold, dormant, or overlooked contacts to surface warm opportunities. Marketing Execution & Campaigns (30%) Design and execute email and SMS nurture sequences — from drip campaigns and market updates to personalized milestone touches (birthdays, anniversaries, home-purchase anniversaries). Collaborate with leadership on campaign strategy: who to target, what message, what channel, and when — then own the execution end to end. Monitor campaign performance (open rates, click rates, reply rates, appointments set) and iterate based on data. Support social media coordination as it relates to database and client touchpoints — spotlights, referral campaigns, and branded content drops. Assist in creating email templates, scripts, and content frameworks that maintain Housevio's brand voice. Agent Support & Systems Training (20%) Train agents and team members on CRM best practices — how to log contacts, update statuses, use automations, and follow up consistently. Create simple, repeatable playbooks and reference guides that make the database approachable for non-technical team members. Partner with agents to build personalized follow-up sequences and custom pipelines tailored to their prospecting style. Be the go-to resource for CRM questions, workflow troubleshooting, and process improvements. Reporting & Analytics (15%) Build dashboards and weekly reports tracking key metrics: contact engagement, campaign performance, appointment generation, and database health. Translate data into plain-language insights for leadership — identifying what's working, what's not, and what to do about it. Maintain conversion tracking from first touch through closed deal to identify the highest-value lead sources and campaign types.
QUALIFICATIONS
Proven hands-on experience managing Follow Up Boss — including workflows, automations, pipelines, bulk actions, and integrations. CRM Expertise (Required) Comfortable working with large contact lists, segmentation logic, and data hygiene processes. You notice when something is off and know how to fix it. Experience writing and executing email campaigns, drip sequences, or SMS campaigns. Familiarity with platforms such as FloDesk, Mailchimp, or similar. Ability to interpret campaign and pipeline data, identify patterns, and make data-driven adjustments to improve performance. Comfortable across CRM platforms, spreadsheets (Excel / Google Sheets), and basic automation tools.
Bonus:
experience with Zapier, Fello, or AI-assisted outreach tools. Clear, professional written communication — you can write a nurture email and explain a complex workflow to a non-technical colleague with equal ease. Able to manage your own priorities, meet deadlines, and operate with a high degree of ownership in a lean, fast-moving team environment.
COMPENSATION & BENEFITS
Base Compensation You will be paid as a W2 employee with an annual salary of $50,000-$60,000/yr plus commission . Payroll is processed bi-weekly, every other Friday, and is subject to deductions for taxes and other withholdings as required by law or the policies of the company. Paid Time Off (PTO), Vacation & Sick Paid time off on major holidays (see Employee Handbook for full list). Vacation time is eligible after 90 days from the date of hire. Sick time accrues at one hour per 30 hours worked, up to a maximum of 40 hours per year, in accordance with Arizona law.
