Purpose:
The Administrative Assistant - Marketing Support provides administrative and entry-level marketing and communications support to ensure effective coordination, organization, and delivery of internal and external marketing efforts. This position serves as a key support role for the Communications team by assisting with scheduling, coordination, content preparation, and outreach efforts. The incumbent helps ensure communications are timely, accurate, and aligned with Tlingit & Haida's mission, values, and cultural integrity. Essential Functions. An individual in this role must be able to perform the following functions with or without reasonable accommodation:
Administrative Support
Provide general administrative support including scheduling meetings, maintaining calendars, and coordinating logistics
Prepare, format, and distribute documents, reports, and correspondence
Track marketing requests and maintain organized records and files
Maintain distribution lists, contact databases, and shared communication resources
Assist with purchasing, invoicing, and basic budget tracking as needed
Serve as a point of contact for internal and external inquiries, directing requests appropriately
Marketing Support
Assist with drafting and formatting basic communications such as newsletters, announcements, flyers, and social media posts
Coordinate content collection across enterprises, including gathering updates, photos, and event information
Support posting and updating content on websites, social media platforms, and internal communication tools
Assist in maintaining a marketing calendar and tracking deadlines
Support outreach efforts, campaigns, and community engagement activities
Help track campaign performance and compile basic reports (engagement, reach, etc.)
Event & Outreach Coordination
Assist with planning and coordinating enterprise-related events and outreach efforts
Support event logistics including materials preparation, setup, and follow-up communications
Help capture content (photos, notes, highlights) for post-event communications
General
Maintain confidentiality of sensitive information

Strong written and verbal communication skills
Ability to organize, prioritize, and manage multiple tasks with attention to detail

Ability to maintain professionalism and confidentiality Minimum Qualifications (education, experience, skills):
ADMINISTRATIVE ASSISTANT I
High School Diploma or GED
Three (3) years of clerical experience
Valid Driver's License required for some departments
ADMINISTRATIVE ASSISTANT II
High School Diploma or GED
Five (5) years of clerical experience
Valid Driver's License required for some departments Preferred Qualifications (education, experience, skills):
Experience in administrative support, communications, marketing, or public relations efforts
Experience with social media platforms or content creation
Strong writing, editing, and visual communication skills
Familiarity with Microsoft Office and basic design tools (e.g., Canva)
Experience working in a tribal, nonprofit, or public-sector environment (if applicable) Physical Requirements.
