About the Role Reporting to the Director of Admissions & Marketing, the Admissions & Marketing Associate is an integral member of the admissions team and serves as a welcoming first point of contact for prospective families. The ideal candidate brings warmth, organizational skill, and creative energy to support a high-touch admissions experience. This role combines operational excellence, relationship-building, and a talent for storytelling and communications. This is a 12-month, full-time position that follows a school office calendar rather than an academic one, including work during school breaks and summers, regular early morning hours on tour days, and multiple Saturday and evening commitments throughout the year. Evening and weekend availability is required on occasion. You find genuine satisfaction in the behind-the-scenes work that makes a seamless family experience possible: data entry, database management, calendar coordination, and the dozens of logistical details that keep an admissions office running. You are a strong communicator who can shift seamlessly from a warm personal conversation with a family to taking a candid photo on campus for a social media post. You are highly organized, with exceptional attention to detail and the ability to manage multiple systems and projects simultaneously. You thrive in a collaborative environment, are energized by school communities, and bring real enthusiasm for working with children and families. You are flexible, discreet, and deeply committed to inclusion and honoring multiple perspectives in everything you do. Key Responsibilities Admissions Respond to inquiries from prospective families with warmth, professionalism, and cultural sensitivity Manage the admissions calendar, ensuring events are accurately scheduled, updating the admissions portal, and tracking prospective families from inquiry to enrollment Plan, coordinate, and execute campus tours, admission events, applicant playdates, and student shadow days from end to end, including early morning setup, registration, logistics, refreshments, setup, name tags, and attendance tracking Monitor and track application status in the admissions database, following up to collect missing materials and ensuring files are completed on time Support mission-aligned storytelling through digital and video content creation for families in the admission process, including personalized videos for applicants Support the admission committees in scheduling meetings, sharing applicant files, and coordinating all information for review Lead online enrollment for new families, coordinating with the business office and ensuring a smooth enrollment process in two databases Track, report, and provide admission data on a regular basis Facilitate family communications related to scheduling changes, cancellations, and general questions Lead on ordering, packaging, and distributing student visitor welcome packs and welcome gifts for newly enrolled families Represent the school at local outreach events and school fairs to build awareness and expand access for prospective families Data & Reporting This role carries significant data management responsibilities. The Associate maintains accurate records across multiple platforms, runs regular reports, and ensures the integrity of admissions data throughout the cycle. Maintain accurate and up-to-date applicant records across admissions platforms and databases Assist in analyzing admissions data and preparing reports on inquiry, applicant, and enrollment trends Support the Director of Admissions & Marketing in tracking the admissions budget, ensuring accuracy in planning and expenditures Marketing & Communications Help drive the progress of our digital marketing presence with best practices and high engagement Help bring Mount Tamalpais School's classrooms, people, and programs to life by capturing video and images, and creating authentic, mission-aligned content Support the creation of brand-aligned print materials, email communications, and digital content Support the Director of Communications in maintaining the school's web presence, including the website, blog, and social media platforms Produce and select photos and videos for social media and admission office communications Support the school's social media presence Events & Community Outreach Plan, organize, and execute admissions and outreach events, leading the details from concept through follow-up Help strengthen partnerships with preschools, colleagues, and community organizations to support outreach and enrollment goals, with a particular focus on broadening access for underrepresented families Team & Community Participate in admissions team meetings and maintain the agenda and notes Participate in school community events and activities as needed Attend weekly Professional Community meetings, student Gathers, and various school events Contribute to a collaborative, reflective team culture that values equity, inclusion, and continuous improvement Qualifications Bachelor's degree or equivalent experience 2+ years of experience in admissions, marketing, communications, or a related field Demonstrated ability to plan, manage, and execute events with meticulous attention to detail, from initial logistics through day-of setup and follow-up Exceptional written and verbal communication skills A natural connector and relationship-builder, with the ability to engage warmly and effectively with a wide range of families and community members Comfort working across multiple databases and digital platforms, with a commitment to accuracy and data integrity Sound judgment, discretion, and respect for confidentiality Deep appreciation for and commitment to the mission of Mount Tamalpais School, and equity, inclusion, and the diverse community at MTS Ability to commit to a 12-month work schedule, including summers, school breaks, early morning tour days, and approximately 6-8 Saturday events/playdates/assessments and occasional evenings per year Experience in an independent school or mission-driven organization a plus Familiarity with Ravenna or similar admissions platforms a significant plus How to Apply Please send a cover letter and resume to jobs@mttam.org .
